We are seeking a proactive and detail-oriented Administrative Assistant to support our risk management and legal functions within a fast-paced real estate management environment. This role is responsible for assisting with the administration of vendor contracts, supporting the placement and tracking of insurance coverage across a diverse portfolio of real estate assets, and maintaining accurate documentation for both internal and external stakeholders.

Key Responsibilities

Insurance Administration

  • Assist with the annual placement and renewal of insurance policies across multiple property types and ownership structures
  • Collect and track certificates of insurance (COIs) for all vendors and tenants, ensuring compliance with company requirements
  • Maintain accurate records of insurance coverage, deductibles, premiums, and claims activity for each property
  • Coordinate with property managers, brokers, and carriers to gather information and resolve documentation issues
  • Support internal reporting on insurance costs, allocations, and claim statuses

Contract Administration

  • Support the intake, routing, execution, and filing of contracts related to vendors, tenants, and third-party service providers
  • Maintain a centralized contract database and track key terms, expiration dates, renewal deadlines, and insurance obligations
  • Ensure all contract files are complete, current, and stored in accordance with company policies
  • Assist with drafting standard agreement templates and coordinating internal approvals

General Administrative Support

  • Organize and maintain department files and systems, including digital recordkeeping and scanning of documents
  • Draft and send routine correspondence related to insurance requests, COI compliance, and contract follow-up
  • Prepare reports and summaries for leadership and internal departments as needed
  • Schedule meetings, assist with meeting preparation, and take notes during team discussions

Qualifications

  • 2+ years of administrative experience, preferably in a real estate, legal, or insurance environment
  • Strong organizational skills with the ability to manage competing priorities and deadlines
  • High attention to detail and accuracy, especially when reviewing documents and data
  • Proficiency with Microsoft Office (Excel, Word, Outlook); experience with property management systems or contract/insurance platforms is a plus
  • Effective written and verbal communication skills
  • Ability to maintain confidentiality and handle sensitive information with discretion

Preferred Qualifications

  • Experience working in real estate, property management, or commercial insurance administration
  • Familiarity with insurance terminology, policy documents, and real estate contract language
  • Associate’s degree or relevant certification (e.g., paralegal, insurance administration) is a plus
