Job Summary:

The Receptionist reports to the Director of Family Resource Center and is responsible for all reception desk duties, greeting clients and visitors, performing administrative tasks, data entry, working with staff and volunteers and assisting with various projects at Bill Wilson Center’s Family Resource Center.

Essential Duties/Responsibilities:

  • Responsible for answering all calls in a professional and timely manner and ensuring that calls are routed to the appropriate staff, program, or department.
  • Responsible for opening the front desk office at 9:00 a.m. Tuesday – Saturday.
  • Provide and promote a welcoming and tidy front desk and lobby atmosphere.  Conduct a preliminary assessment of visitors/callers' needs (services, information, donations) and refer to the appropriate staff/program/department.  Use appropriate boundaries with clients.
  • Responsible for all room scheduling for 1100 Shasta building for staff training and workshops. 
  • Pick up and distribute mail to programs located at 1100 Shasta building.
  • File and sort service tracking sheets and track needed data for diapers and wipes provided to clients.
  • Process in-kind donations and provide receipts to donors. Inform the Community Resources team of the donation and assist with any sorting required. Assist with contacting programs to pick up donations.
  • Ensure that the site is clean and neat and report any maintenance or safety issues to the Facilities Manager immediately.
  • Regular attendance and punctuality is a requirement of the position.
  • Support the families who are receiving services at the Resource Center.
  • Additional duties as assigned.

Qualifications

Education and Experience:

  • High School Diploma or equivalent plus two or more years of administrative, clerical, receptionist, or related work experience. 
  • Personal or lived experience with the criminal/legal system, housing instability, social services, or other systemic challenges is valued.

Required Skills/Abilities:

  • Ability to work in a high-paced, team environment where multi-tasking is required.
  • Bilingual (English/Spanish) communication skills required.
  • To perform this job successfully, an individual should have knowledge of Internet software; Spreadsheet software and Word Processing software. Internet research skills are a plus. 
  • Knowledge of using Google Suite is preferred.
  • Knowledge of using Canva software is a plus.

Physical Demands:

  • The employee must occasionally lift and/or move up to 25 pounds.
  • Remain stationary for long periods of time.
  • Ability to reach high or low access areas.
  • Ability to walk/move to different rooms within buildings.

Work Environment:

  • The noise level in the work environment is usually moderate.
  • Awareness of visitors' safety and surroundings.

Salary Range:

$23.00 - $25.00 per hour
