Position Overview:

We are seeking a detail-oriented and experienced Advisory Billing Manager to oversee all aspects of our advisory billing operations across multiple custodians and platforms. This critical role will play a key part in driving operational efficiency, minimizing risk, enhancing the advisor experience, and enabling scalable growth.

The ideal candidate will take full ownership of the advisory billing lifecycle and lead the implementation and optimization of a dedicated billing platform.

Job Duties:

  • Billing Operations Management:
    • Oversee all advisory billing processes, including annuity billing and financial planning fee invoicing
    • Manage monthly and quarterly billing cycles, including file reviews and timely processing
    • Track, audit, and reconcile billing to ensure accuracy, completeness, and adherence to internal standards
  • Advisor Support:
    • Serve as the primary point of contact for advisor billing inquiries and escalations
    • Provide timely issue resolution and maintain clear, detailed documentation to support transparency and communication
  • Technology & Implementation:
    • Lead the implementation, optimization, and adoption of a dedicated billing platform
    • Maintain and enhance system integrations and workflows to improve automation, data accuracy, and reporting capabilities
  • Collaboration & Compliance:
    • Partner with Compliance and Operations to ensure all billing practices, fee disclosures, and recordkeeping meet regulatory requirements
    • Develop and document scalable procedures to support billing across multiple custodians, business lines, and platforms

Qualifications

Education and Experience

    • 5–7 years of experience in advisory operations, billing, or investment account administration
    • Experience with advisory billing processes, including asset-based, flat fee, and planning fee structures
    • Prior experience implementing billing software (preferred)
    • Experience working in an independent broker-dealer or RIA environment (preferred)

Desired Skills

  • Strong knowledge of custodians such as Schwab and Pershing
  • Familiarity with platforms like Envestnet, BillFin, or similar
  • Knowledge of regulatory billing requirements and fee disclosure standards (preferred)
  • Strong communication skills, both written and verbal
