Summary:
The Admissions/Intake Coordinator will oversee day-to-day tasks of screening, assessment, and completion of admissions processes for all levels of care in the treatment facility as well as provide oversight and direction to the Admissions team.

Primary Responsibilities and Duties include the following:
- Provide oversight and direction to admissions team.
- Lead the team to retrieve admissions-related phone calls and be responsible for returning these calls in a timely manner, but not more than 24 hours after the call has been received by TNDR.
- Lead the department to meet established monthly admissions goals by ensuring timely responses to calls and exceptional customer service.
- Serve as internal support to Business Development team and delegates referrals to team for expedited admissions.
- Act as an advocate to remove all barriers to admission by escalating denials or financial issues to senior leadership team.
- Adhere to on-call policy once developed and established as needed.
- Communicate with referral sources when needed to develop trust and build long-term relationships.
- Utilize other key team members when encountering barriers to assist the intake process.
- Utilizes appropriate bonding techniques to establish rapport and build relationship throughout the screening call.
- Qualifies the callers ability to private pay or utilizing their insurance of available grant to cover the cost of treatment.
- Ensure the admissions process is followed and runs at peak efficiency to provide best client care as quickly as possible.
- Work collaboratively with the Clinical staff, Utilization Review staff, Medical staff, Operations staff and Clinical Associates to provide best patient care.
- Assure information is communicated effectively internally as well as externally to clients, families and referral sources as needed.
- Manage the TNDR waitlist by prioritizing clients when needed.
- Ensure timely and professional documentation in accordance with TNDR Inc. policy, professional code of ethics and as determined by grants, TDMHSAS licensure, CARF and other requirements.
- Follow program and agency guidelines including demonstrating honesty and willingness to listen to patient issues and act responsibly.
- Provide feedback to leadership including identifying opportunities for additional or improved services to meet customer needs.
- Serve as admissions back-up for calls, phone assessments, intake assessments and pre-certifications when needed.
- Communicate/coordinate staff schedules and reviewing staffing needs to appropriate staff time off.
- Responsible for reporting and summarizing each days admissions functions and verifying accuracy of all admissions team members work on a day to day basis.
- Attend TNDR staff meetings as required.
