Job Summary: 

The HR Compliance Specialist ensures that the organization adheres to all relevant employment laws, regulations, and internal policies. This role involves auditing, developing, and implementing HR compliance programs, ensuring time punch accuracy, conducting I-9 audits, completing monthly HR Metrics reports, and advising management on compliance-related matters. The position requires strong analytical, communication, and project management skills, as well as proficiency in data management and documentation. 

  • Key Responsibilities: 
  • Develop and track compliance metrics to assess the effectiveness of policies and programs and use independent judgment in identifying areas for improvement. 
  • Ensure time punch accuracy in alignment with wage and hour laws. 
  • Review, track, and document meal period violations, penalties, and missed or edited timecard punches; collaborate with campuses and colleagues to identify and resolve these issues effectively. 
  • Conduct regular I-9 audits to ensure accurate employee documentation and compliance with federal regulations. 
  • Track and analyze employment litigation claims, prepare reports, and identify trends to provide insights into legal risks. 
  • Verify that current salaries for both exempt and non-exempt employees comply with state and federal minimum wage standards. 
  • Complete monthly HR Metrics reports, tracking and analyzing data such as turnover rates, employee demographics and employee relations matters. 
  • Submit compliance reporting (e.g., EEO-1, Pay Data Reporting, Bureau of Labor Statistics reporting) and respond to state and federal survey requests. 
  • Prepare HR compliance audit data by compiling and analyzing internal/external information. 
  • Participate in third-party/government reviews, audits, and inquiries in coordination with relevant departments and management. 
  • Maintain and prepare files, records, documents, and reports as requested. 
  • Assist with department initiatives, diligence efforts, and other projects as assigned. 
  • Participate in projects to implement new policies, processes, and systems that support the tracking and administration of human resources compliance-related matters. 
  • Provide training, facilitation, and presentations to employees regarding compliance requirements and updates. 
  • Monitor and ensure compliance with state and federal employment laws  and health and safety regulations throughout the United States. 

Qualifications

 

  • Bachelor’s degree in Human Resources, Business Administration, or a related field. 
  • 3+ years of experience in HR compliance or a similar role. 
  • Strong auditing and assessment skills for HR programs and processes. 
  • Excellent project management, problem-solving, and analytical skills. 
  • Ability to handle multiple priorities and complex issues independently. 
  • Strong attention to detail and collaboration skills. 
  • Ability to handle confidential information appropriately. 
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). 
  • Strong knowledge of state and federal  employment laws, with a heavy emphasis on California employment laws. 
  • Proven ability to compile, analyze, and document HR Metrics reports.
