We are seeking a detail-oriented, organized, and reliable candidate to fill an open HR Administrative Assistant on our Global HR team. If you are looking to get an entry level position to gain some experience in the HR field, this may be the opportunity for you.
As an HR Admin, you would be involved in all areas of HR, supporting the HR team members on administrative tasks and organizational needs.
The ideal candidate excels in time management, organization, and follow-through. If you are someone who doesn’t lose track of tasks, takes initiative, who gets a sense of satisfaction when everything is completed and filed away, and likes to help people, you are encouraged to apply.
You must have excellent verbal and written communication, a high level of professionalism, strong customer service skills, and problem-solving skills.
You must have:

- Office experience (including computer navigation, MS Office, electronic file storage, and related)
- A high level of confidentiality

This position will work EST/EDT hours, 7.5-8 hour days, within the range of 8am to 5pm, 37.5-40 hours per week. We are closed on Saturday and Sunday.

What we offer:
This position ranges from $20.50-24.00 per hour. Placement in this range is dependent on education, experience, and other factors allowable by law.

Primary Job Duties
- Manage employee timekeeping records, reviewing and correcting daily timecards, and emailing managers and employees when corrections are needed; ensure all days have time entries and are compliant with meal period laws
- Assist talent acquisition through scheduling, reviewing resumes, sending emails, and related
- Own the record-keeping process through proper storage of HR files, saving employee communications to files, reorganizing files, and performing file migration projects
- Be first point of contact in the HR Inbox through answering quick inquiries, FAQs, providing documents, and filing FYI emails; assign other emails to HR specialists and send weekly status reports of pending inquiries
- Assist in new hire onboarding and separation offboarding through the tracking and completion of checklists, letters and correspondence, and communications

Secondary Job Duties
- Complete employment verifications
- Submit responses to various HR surveys, such as BLS (bureau of labor statistics)
- Save payroll reports to HR drive after each payroll, with proper organization and file naming systems
- Receive, scan, review, and distribute HR related mail
- Process employee informational updates in the HRIS
- Track equipment return from separated employees, correspond and follow up with them to retrieve equipment
- Assist in corresponding with IT and mailroom to ship equipment to new hires
- Prepare separation letters and correspondence, prompt payroll team with last paycheck reminders
- Take meeting minutes in HR meetings
- Perform special or large file maintenance or migration projects
- Continuously seek opportunities for process improvement and propose ideas
- Foster effective communication and collaboration between countries and cultures within all regions
- Assist in HR project work as required
- Act as backup to other members of the HR Departments
- Maintain a high level of professionalism and confidentiality with all information entrusted with
