JOB DESCRIPTION

Position Summary

The Tax Support Administrator plays a critical role in ensuring efficient administrative operations of the Tax Department. This position supports the tax team by scanning client documents, assembling tax returns, processing electronic filings and extensions, maintaining client records, and assisting with internal workflow management.

The hourly rate range is $28.87- $32.69 per hour plus competitive health benefits and 401k plan.

 

 

Essential Functions

  1. Receive and scan incoming tax source documents (e.g., 1099’s, W-2s, K-1s, client organizers) to ensure timely access for preparation.
  2. Assemble and process finalized tax returns for delivery to clients (electronic and/or paper).
  3. E-file tax returns and extensions to tax authorities (e.g., IRS, state agencies).
  4. Track e-file acknowledgements and ensure successful transmission of filings.
  5. Manage the intake and logging of signed e-file authorizations and client correspondence.
  6. Monitor and support timely processing of extensions, estimates, and amended returns.
  7. Organize and maintain client folders (physical and digital).
  8. Update client information in internal systems.
  9. General support of client and departmental deadlines.
  10. Assemble client tax organizers & engagement letters
  11. Oversees XCM set-up and New Client set-up
  12. Other special projects/tasks as required.

Work Environment

This job operates in a professional office environment and includes heavier workload during tax busy seasons (February-April and August-October).

 

Position Type

This is a full-time position.  Hours should comply with business hours and schedule approved by management.  Any hours worked over 40 hours per week will be paid at 1.5 the standard rate.  Evening and weekend work may be required as job duties demand.

Required Education and Experience

  • 2+ years experience in a professional office setting or accounting environment
  • Strong attention to detail and accuracy in data handling and document preparation
  • Comfortable working with deadlines and multi-step workflows
  • Proficiency with MS Suite (Word, Excel and Outlook).
  • Ability to adjust schedule based on peak workload times in the department.
  • Strong communication skills (spoken and written) and strong organizational skills.
  • Must be able to manage repetitive tasks while maintaining high quality standards.
