The Position - In this role, you will be responsible for scheduling and dispatching company drivers, equipment, or service vehicles for conveyance of materials, or for service rendered outside the place of business. Duties may include using radio, telephone, or computer to transmit assignments and compiling statistics and reports on work progress.
Responsibilities:
- Use routing software program to schedule and dispatch drivers, and service vehicles to appropriate locations according to customer requests, specifications, or needs, using radios or telephones.
- Relays work orders, messages, and information to or from drivers, supervisors, and field inspectors using telephones or two-way radios.
- Prepares daily routes by creating work orders through the routing software program.
- Confers with customers or supervising personnel to address questions, problems, and requests for service or equipment.
- Monitors personnel or equipment locations and utilization to coordinate service and schedules.
- Records and maintains files and records of customer requests, work or services performed, and other dispatch information.
- Responds to requests for service and assistance.
- Determines types or amounts of equipment, vehicles, materials, or personnel required according to work orders or specifications.
- Manages difficult or emotional customer situations; Solicits customer feedback to improve service.
- Collect data from plant and compiles reports that include volume, daily accidents, hours of service for supervisor and corporate’s review.
- Collect data from Driver’s Daily Route sheet from previous day and enter into mileage spreadsheet.
- Engages in heavy customer service due to call volume; sending out manifests upon customer’s request, call COD customer to schedule service.
- Uses accounting software to review customer accounts as well as enter data into our data base.
- Send in Accounts Payable invoices to corporate office after manager’s approval.
- Stamps third party invoices as they come in, verify they are not COD (if they are COD, then route to corporate office).
- Operates office machines such as copier, scanner, and fax machine.
- Special projects and other duties as assigned.
