Tucson Subaru is looking for a detail-oriented and dependable Warranty Administrator to support our fast-paced Service Department. This important role involves processing Subaru warranty claims accurately and efficiently, helping ensure smooth day-to-day operations. Warranty Admin Key Responsibilities:

  • Process and submit Subaru and extended warranty claims in a timely and accurate manner.
  • Ensure all warranty documentation complies with Subaru’s requirements.
  • Review repair orders for claim eligibility and accuracy.
  • Reconcile warranty receivables and maintain accurate records in the accounting system.
  • Post warranty credits to the dealership’s computer system.
  • Manage rejected claims by resubmitting with corrections or obtaining proper approvals.
  • Follow up on outstanding claims to ensure prompt payment.
  • Tag, track, and log warranty parts with required details (RO numbers, dates, etc.).
  • Coordinate shipment or proper disposal of warranty parts per Subaru guidelines.
  • Maintain organized warranty records and service files.

Qualifications

Warranty Admin Qualifications:

  • Previous experience processing Subaru or dealership warranty claims strongly preferred
  • Proficient with dealership management systems (DMS) and Microsoft Office (Excel, Word, Outlook)
  • Strong clerical and data entry skills with high attention to detail
  • Excellent organizational and time management abilities
  • Ability to multi-task and work efficiently in a fast-paced environment
  • Strong communication skills and a professional, customer-focused attitude
  • Ability to work independently and as part of a team
  • High school diploma or equivalent required; additional administrative or automotive training is a plus

Corporate requirements: Must be 18 years or older with a valid driver's license and clean driving record, able to pass a criminal background check and pre-employment drug screen.
