Description

This role requires strong organizational skills, excellent communication abilities, and the ability to multitask effectively in a fast-paced environment. Support the planning and execution of major events for the department. Support the Public Policy and Legal Affairs office with research, editing, managing webpages, handling correspondence, preparing presentations, managing social media, overseeing schedules and travel logistics, maintaining files and databases, preparing reports and financial data, coordinating meetings and events, and managing technical logistics for webinars and virtual meetings.  This position may be performed from a home office anywhere in the contiguous United States, working eastern time zone office hours. While this position is remote, we have a strong preference for candidates based in the Northern Virginia suburbs or exurbs of Washington, D.C. to facilitate occasional in-person collaboration and regional engagement. Essential Duties/Responsibilities 

  • Assist in the drafting, coordinating, proofreading, and editing of written content for presentations and meetings, advertising and promotional media, training materials, webinars, letters, webpages, blog posts, social media, and other forms of department communication
  • Support in managing the department’s online communication avenues including website content and social media platforms
  • Serve as a point of contact for the Vice President for Public Policy and Legal Affairs, managing calendar, scheduling meetings, routing information, and assisting with telephone, email, and written correspondence
  • Manage technical logistics for webinars and virtual meetings 
  • Complete and submit expense reports
  • Manage information including the maintenance of databases, files, and recordkeeping systems 
  • Attend and capture critical information in meetings and prepare summaries and action items for initiatives
  • Interface with strategic partners, vendors, and organizational constituents  
  • Coordinate with the Office of Communication and Engagement and other internal departments as needed for marketing, communication, messaging, calendar, and logistics planning
  • Assist other department team members in providing membership services and resources 
  • Assist in the development of event plans, timelines, and budgets under the direction of the VP for Public Policy and Legal Affairs
  • Research and gather information on potential event venues, vendors, and suppliers
  • Aid in the coordination of event logistics, including venue setup, catering arrangements, and audiovisual requirements
  • Assist with the creation and distribution of marketing materials, including social media posts, email campaigns, and promotional materials
  • Support the event registration process, including managing attendee lists, RSVPs, and inquiries
  • Assist in communicating with speakers, sponsors, and other stakeholders to confirm event details and requirements
  • Help prepare event agendas, scripts, and presentations as needed
  • Provide on-site support during events, including assisting with setup, registration, and attendee support
  • Assist with post-event activities, including gathering feedback, analyzing event metrics, and preparing post-event reports
  • Maintain accurate records of event expenses, receipts, and invoices
  • Assist with other administrative tasks and projects related to event planning and departmental initiatives
  • All other duties as assigned

Compensation and Benefits

Starting Salary Range: $21 - $23.50 per hour; based on work experience, education, training, knowledge, skills, and internal and external equity.

Essential Qualifications

Required Experience and Education

  • Three or more years of experience preferred in a communications/editing, administrative/executive assistant role, or event planning
  • Associate’s or Bachelor’s degree in English, Communication, Marketing, Management, Business, Political Science, or related field preferred
  • Strong proficiency in English, writing, composition, grammar, spelling, proofreading, and editing
  • Strong interpersonal skills, oral communication skills, and the ability to work well with all levels of ACSI internal management, staff, outside clients, and vendors
  • Strong organizational skills with the ability to manage multiple tasks simultaneously
  • Previous experience in event planning, coordination, or related field is a plus
  • An understanding of public policy, especially as it relates to education, religious liberty, and parental school choice preferred
  • Strong proficiency in MS Office (Word, Excel, PowerPoint) and publishing software
  • Experience in webpage creation and design preferred
  • Ability to use additional software applications related to financial reporting, conference scheduling, social media and webpage management, and policy research
  • Excellent organizational skills, including file and database management, maintaining legal records and technical research, and project management
  • Strong interpersonal skills and ability to work with others
  • Detail-oriented with the ability to handle multiple tasks simultaneously; disciplined time management skills; flexibility
  • Integrity in dealing with confidential information

Physical Demands and Work Environment

  • Professional remote work environment in which to conduct videoconferences and phone calls
  • Ability and willingness to occasionally travel by automobile and/or air for two to four days at a time
  • Driver’s license required to be kept current and in effect as a condition of employment 
  • Ability to walk, sit, stand, use hands and fingers, talk, and hear
  • Ability to use computers to process information
  • The employee frequently is required to reach with hands and arms
  • Specific vision abilities required by this job include the ability to read at close range and distinguish colors and contrasts
  • The noise level in the work environment is usually minimal
  • Ability to lift and move boxes and files up to 30 pounds
