Description

Event Coordinator: Responsible for partnering with the Events team on  planning and execution of strategic client-facing and internal events, including logistics, timelines, communications, and vendor management, with a focus on operational excellence, brand alignment, and audience engagement.

Event Coordination

  • Partner with the corporate events team in the development and execution of event plans that align with organizational objectives and client goals.
  • Developing project timelines, event briefs, and post-event recaps with other team members.
  • Support all event registration and communication functions.
  • Coordinate event logistics such as venue sourcing, transportation, accommodations, catering, and audiovisual needs in collaboration with internal teams and external partners.
  • Track attendee registration, monitor engagement, and provide data insights pre- and post-event to support ROI analysis.
  • Serve as on-site support for event managers as needed, coordinating with vendors, venues, and internal stakeholders.
  • Support post-event follow-ups, surveys, and reporting to evaluate event success and identify areas for improvement.

 

Communications & Creative Lead

  • Draft and schedule pre-, during-, and post-event communications for team review, including save-the-dates, invitations, reminders, confirmations, and thank-you messages, ensuring consistent tone, branding, and timely delivery.
  • Develop landing pages and event registration forms to capture attendee data efficiently, such as contact details, session preferences, activity selections, and dietary restrictions. Ensure the pages are user-friendly, mobile-responsive, and aligned with the branding requirements.
  • Develop and coordinate creative design requests for timely submission of event branding needs to the creative development team, adhering to established guidelines for timing and delivery expectations.

 

Vendor & Budget Management

  • Liaise with third-party vendors including venues, caterers, entertainment providers, promotional item suppliers, and transportation companies to coordinate services and logistics.
  • Monitor and facilitate the timely processing of sponsorship payments, ensuring that all invoices are issued and collected according to agreed-upon terms.
  • Support tracking of expenses and active budget management for events, to ensure cost-effective planning and financial alignment.

 

Team Collaboration & Process Improvement

  • Support cross-functional teams including marketing, sales, communications, and business development to ensure cohesive event execution and messaging.
  • Contribute to the refinement of event processes, templates, and best practices to improve team efficiency and scalability.
  • Participate in post-event debriefs and help identify opportunities for enhancing attendee experience, workflow optimization, or vendor partnerships.

Qualifications

Preferred Qualifications

  • Bachelor’s degree in Marketing, Communications, Hospitality, or related field is required
  • 2–4 years of corporate event planning or coordination experience preferred. Insurance Industry experience a plus.
  • Familiarity with event management software such as Cvent is preferred
  • Exceptional organizational skills, attention to detail, and ability to manage multiple projects in a fast-paced environment.
  • Strong interpersonal and communication skills with a client-service mindset.
  • Willingness to travel on occasion and work flexible hours during event periods.
