Description

  • Provide administrative support to the Perinatal Leadership team.
  • Coordinate all administrative aspects of the medical fellowship program, including onboarding, contract preparation, and status check-ins for incoming fellows.
  • Manage the fellowship application and interview process by communicating with applicants, tracking documentation, and organizing interview logistics.
  • Plan and execute fellow orientation week, handling presenter coordination, space reservations, and supply ordering.
  • Maintain and administer the fellow evaluation platform; compile and distribute feedback from supervising physicians.
  • Oversee graduation processes and training compliance by updating tracking documents, preparing billing reports, and sending timely reminders.
  • Collaborate with the fellowship director and Medical Office Manager to build and communicate rotation schedules.
  • Assist with annual fellowship budget planning, monitor spending, and manage reimbursements.
  • Manage and update alumni records and fellowship verifications, including updates to the program website and database.
  • Lead coordination of the IBCCP program by enrolling eligible patients, managing documentation, entering data into Cornerstone, and resolving billing issues.
  • Conduct care gap outreach and partner with external organizations to promote cancer screenings, schedule patient appointments, and reduce barriers to care.
  • Support cancer awareness initiatives and community engagement efforts through collaboration with internal teams and external partners.

Qualifications

Education and Experience: 

  • Associate Degree in related field required
  • Bachelor of Science in related field preferred.
  • Proficient in MS Office Business Applications to include: Outlook, Word, PowerPoint, and Excel.
  • 3-5 year experience providing administrative support to department head preferably in a healthcare setting.
  • Proficient to handle a large number of administrative duties in a fast paced setting.
  • Aptitude to develop letters, memoranda, reports, board and committee minutes, agendas, correspondence, coordinate and schedule meetings, etc.
  • Ability to establish and maintain effective working relationships with executive leadership, senior management team, providers, department heads and co-workers.
  • Capability to communicate effectively orally and in writing.
  • Talent to function independently, works under pressure, and prioritize multiple projects while maintaining all required deadlines.

 

Physical Demands:

  • Must be able to remain in a stationary position 50% of the time.
  • Must be able to move around the clinic site 50% of the time.
  • Constantly operates a computer, computer printer, copy machine, and telephone.
  • Occasionally positions self to maintain exertion of physical strength to move objects of 10 pounds from one level to another.
  • Must be able to transport from one site to another.
  • Must be able to cover other shifts as necessary.

Language Skills:

  • Ability to read and write proficiently in English and Spanish.
