Description

Title: Human Resources Coordinator

Location: Administrative Office (on-site position)

City: Bellingham, WA

Position: Full time 40 hours/week, Monday-Friday 8:00am-5:00pm, non-exempt (hourly)

Compensation: The full wage scale is $24.90 - $34.27 per hour. Placement within the wage range is determined by a candidate’s relevant experience.

Time Off & Wellness:

Position Summary:

The Human Resources Coordinator provides administrative and technical support in multiple HR program areas and acts as a key resource for staff and leadership regarding HR related FCN policies and procedures. The HR Coordinator demonstrates a general knowledge and understanding of onboarding, benefits administration, compensation administration, recruiting and personnel record management and responds to routine inquiries in these program areas.

General Responsibilities:

  • Provides clerical and administrative support for the Department and HR Team.
  • Assists the HR Team with administrative, reporting, auditing, and reconciliation functions.
    • Runs routine reports, such as weekly DOH Clinical licensures certifications, FTE reports, etc.
    • Tracks employee licensure and certifications, communicates with employees to collect updated documentation prior to its expiration.
    • Tracks sign-on bonuses and step increases for applicable positions and employees.
    • Obtains appropriate approvals and prepares and submits Personnel Action Forms (PAFs) as needed.
    • Maintain employee personnel files.
    • Assists employees with Paycom Employee Self Service (ESS), benefits, timecard, and online training questions.
    • May assist with HR projects, job fairs or other initiatives.
    • Maintains the integrity and confidentiality of human resource files and records and shares only on an appropriate need-to-know business-related basis.
    • Keeps up to date with HR trends, employment laws and regulations and best practices.
    • Assists in the preparation and coordination of employee recognition activities.
    • Assists the HR team with various research, audits, and/or special projects.
    • Performs other duties as assigned in order to meet business needs.
  • Performs various functions related to onboarding and offboarding employees.
    • Receives final hiring approvals, prepares employment offer letters and sends offers letters to selected candidates.
    • Prepares background check and initiates process with new hires.
    • Initiates the onboarding process and tracks status of required onboarding items.
    • Follows-up with new hires to ensure onboarding items are completed within the appropriate timeframe.
    • Prepares new hire orientation (NHO) materials and enrollment of new hires in online training program.
    • Informs appropriate departments (IT, Payroll, Benefits, Clinical Services, PAD, EMR, etc.) of new hire and provides each with the new hire’s relevant information needed for those groups to complete their work in the onboarding process.
    • Schedules new hires to attend NHO, prepares NHO agenda, schedules NHO presenters, conducts NHO as the primary facilitator.
    • Greets and welcomes new hires, collects and makes a copy of required Form I-9, required training/certification and other documents from new hires.
    • Completes the employer portion of Form I-9 and other required documentation.

Knowledge, Skills & Abilities:

  • Exceptional communication skills both verbally and in writing.
  • Proficient in MS Word, Outlook, Excel, HRIS systems to include reporting, graphing data and creating dashboards.
  • Possesses a high-level of professionalism, communicating effectively with a wide range of individuals within the organization, offering exceptional service to candidates, staff, leadership and providers.
  • Performs tasks with a high level of accuracy and attention-to-detail, able to use critical thinking to reach decisions, reprioritize tasks and identify when additional support or resources are needed to meet a deadline.
  • Demonstrates understanding of the discretion required in HR roles and is adept at managing sensitive conversations or circumstances with calm and compassion.
  • Ability to communicate effectively and establish and maintain effective working relationships

Qualifications

Education & Experience:

  • High School Diploma or equivalent required. Bachelor’s degree in Business, Human Resources Management or Organizational Development preferred or coursework in these subject matter areas with equivalent experience required.
  • Previous experience in Human Resources and/or general knowledge of the key HR program areas.
  • Healthcare experience preferred.

Physical Requirements: While performing the duties of this job, the employee is occasionally required to: stand; walk; sit; use hand to finger coordination, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; balance, stoop, kneel, crouch; talk or hear. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required include: close vision, peripheral vision, depth perception and the ability to adjust and focus.

Immunization Requirements: Employees are required to meet immunization standards in accordance with federal, state, and organizational health and safety guidelines, as applicable to the role. A simple process is in place for employees to request exemptions for medical or religious reasons.
