Job Summary: Under the direction of the Recreation Supervisor, the part-time CFA Administrative Assistant is responsible for assisting in the organization and clerical administration of assigned Center for the Arts summer camps, productions, and programs.  The administrative assistant’s responsibilities include, but are not limited to, information management and dissemination, filing and organization, printing of materials, basic communication via phone and email, supply distribution, and other clerical support responsibilities as assigned.  Hours are flexible. This is a PT 2 position, benefits listed belowÂ
Supervisory Responsibilities:
Essential Duties/Responsibilities:
- Data entry, including but not limited to the input of seasonal CFA programming into RecTrac registration system, building usage software, and Microsoft Word signage templates
- Print programs, posters, and fliers
- Scan/file paperwork
- Label/inventory equipment
- Organize and facilitate distribution of purchases to storage, camps, classrooms, and offices
- Contact program participants for missing registration or emergency information
- Create and maintain CFA distribution and contact lists
- Occasional clerical support of special events within the broader Recreation Department
- Maintain positive relationships with participants and families
- Represent the Park District to parents/guardians, students and guests and conduct him/herself with professionalism and courtesy
- Attend meetings at the request of the Recreation Supervisor-CFA
- Actively contribute to the Park District's sustainability goals
- Perform other related duties as assigned, based on agency needs
SAFETY RESPONSIBILITIES:
- Actively support the safety program that will effectively control and reduce accidents
- Obey the practical safety rules, regulations and procedures established by the Wilmette Park District safety program that is pertinent to the activities conducted by the department
- Become familiar with and follow safety procedures of the Wilmette Park District including, but not limited to fire, severe weather and evacuation procedures
- Promptly report all unsafe actions, practices or conditions observed to immediate supervisor, Human Resources/Risk Management division
- Attend and participate in required safety trainings
QUALIFICATION REQUIREMENTS:

EDUCATION AND EXPERIENCE:
- At least 16 years of age or older
- Experience in multiple visual art disciplines, including painting, drawing, sculpture, mixed media, ceramics, etc., preferred
CERTIFICATIONS, LICENSES, REGISTRATIONS:
- Must hold a valid Class D driver’s license
- Must possess CPR/First Aid certificates within three months of hiring, provided by the Park District
- Complete annual District trainings including, but not limited to, Sexual Harassment Training annually and Mandated Reporter every three years

- The noise level in the work environment is usually moderate
HOURS:
- This position will have varying hours, based on the needs of the program, camp, and/or agency, averaging 10-12 hours per week and not to exceed 1,000 hours per year
- Due to the nature of recreation work, evening and weekend hours are to be expected
- General hours of duty will be approved by the Recreation Supervisor-CFA
