The Enrollment Support and Institutional Events Coordinator is a full-time, cross-functional role that provides critical support in two key areas of the Seminary's operations: institutional event planning and prospective student engagement. This position is responsible for coordinating Wesley Theological Seminary’s campus-wide events, both on- and off-site, and supporting the Office of Admissions through student outreach, CRM management, and recruitment logistics. 

The ideal candidate will be highly organized, adaptable, and comfortable working across departments to ensure seamless communication and execution of events and enrollment processes. 

 

Institutional Event Coordination Responsibilities: 

  • Plan, schedule, and execute Seminary events on campus, in the community, at external venues, and virtually. 

  • Serve as the central coordinator for institutional events, collaborating with departments such as the Office of the President, Development, Community Life, and Academics. 

  • Coordinate logistics including venue reservations, catering, audio-visual needs, signage, and materials. 

  • Liaise with internal and external partners, vendors, and volunteers. 

  • Maintain the internal institutional events calendar and monitor overlapping events. 

  • Provide on-site event support and manage setup, execution, and breakdown. 

  • Track event attendance and gather feedback for continuous improvement. 

Enrollment Support Responsibilities: 

Prospective Student Engagement & Communications 

  • Respond to inquiries from prospective students via phone, email, and web contact forms. 

  • Assist with counseling students about the admissions process, programs, and financial aid opportunities. 

  • Ensure a welcoming and responsive experience for all prospects. 

CRM (Customer Relationship Management) Support 

  • Support the Director of Enrollment in managing inquiry and applicant data in the CRM. 

  • Assist with CRM processes such as data entry, automation, and communication tracking. 

  • Coordinate email campaigns and monitor campaign performance. 

  • Collaborate with CRM consultants on troubleshooting and enhancements. 

Administrative & Operational Support 

  • Maintain the Admissions calendar and manage logistics for recruitment events. 

  • Coordinate the mailing of marketing and informational materials. 

  • Oversee event inventory and materials preparation. 

  • Serve as a liaison with Development, Communications, and Community Life for event branding, alumni outreach, and denominational partnerships. 

  • Maintain and update relevant website pages for Admissions, D.Min., and Registrar. 

UMC/Annual Conference Planning 

  • Coordinate with Communications on UMC Annual Conference submissions. 

  • Register and manage logistics for Annual Conference exhibit participation. 

 

General Support & Supervision 

  • Provide backup support for application processing and recruitment travel logistics. 

  • Maintain records and assist with data reporting and analytics. 

  • Support additional cross-departmental efforts as assigned. 

Qualifications

  • Bachelor’s degree or equivalent experience in event planning, communications, higher education, or a related field. 

  • 2–3 years of professional experience in event coordination, admissions, or administrative support. 

  • Experience working with CRM systems (e.g., Salesforce, Slate, Radius) preferred. 

  • Excellent written and verbal communication skills. 

  • Strong organizational skills and the ability to manage multiple priorities.
