Our office in Salt Lake City, UT, is seeking a highly organized, tech-savvy professional to support our executive team, enhance organizational efficiency, and optimize business operations. This role blends administrative duties with broader operational engagement, allowing you to contribute meaningfully to our leadership team's success. Salary Range: $130,000 - $160,000 plus annual bonus 

 

Responsibilities:

  • Partner closely with the executive team to create and maintain routines, forums, and communication channels that ensure alignment, clarity about accountabilities and responsibilities and highlight areas for increased focus and study.
  • Track key priorities, goals, and performance metrics, ensuring leadership objectives are executed effectively and on time.
  • Manage executive time by prioritizing initiatives, scheduling strategic discussions, and minimizing unnecessary distractions.
  • Ensure executives receive relevant, actionable, and well-organized data to facilitate timely, informed decision-making about strategy and execution.
  • Prepare concise and insightful reports, dashboards, and presentations to communicate key findings, recommendations, and progress on leadership initiatives.
  • Utilize technology tools to facilitate efficient reporting, updates, and workflows that support leadership effectiveness.
  • Leverage AI-powered analytics to improve forecasting, trend analysis, and strategic planning, helping guide executive decision-making.
  • Continuously identify opportunities to enhance efficiency through automation and digital solutions.
  • Assist the CEO and two Co-Founders with day-to-day operations, including scheduling meetings (internal and external), arranging travel, completing expense reports, and preparing for on-site meetings and logistics.
  • Manage high-level administrative tasks, ensuring seamless operations and execution of executive responsibilities.
  • Provide support across the entire executive team and to key external partners, such as investors and consultants, based on leadership needs.
  • Facilitate smooth communication between executives and stakeholders, ensuring alignment on key priorities and company goals.
  • Act as the central point of contact between the Operating Committee, Executive Committee, Project Management Office, and functional leadership teams to ensure smooth and efficient communication.
  • Facilitate collaboration by ensuring executives and functional leaders are aligned on key organizational goals, initiatives, and deadlines.
  • Coordinate and manage specific projects for the executive team, tracking milestones and deliverables to ensure strategic alignment and timely execution.
  • Identify and address operational challenges or inefficiencies that could hinder executive performance and organizational objectives.
  • Use project management and collaboration tools (Salesforce, Tableau, Teams, Co-Pilot) to streamline executive operations and support cross-functional teams.

Qualifications

  • 5-7+ years of experience supporting senior leadership in a high-performance, fast-paced environment (experience in wealth management or financial services is a plus).
  • Strong organizational, project coordination, and multitasking skills, with the ability to manage competing priorities and deadlines effectively.
  • Proficiency in using Microsoft Office Suite, Salesforce, Zoom, project management platforms (e.g., Monday), and data analysis/visualization tools (e.g., Tableau).
  • Experience leveraging artificial intelligence tools and emerging technologies to improve operational efficiency, decision-making, and automation.
  • Exceptional communication skills, both written and verbal, with the ability to present complex information clearly and concisely.
  • Analytical mindset with a strong ability to synthesize data, identify trends, and translate findings into actionable recommendations.
  • Problem-solving capabilities with excellent attention to detail, ensuring that solutions are both practical and aligned with business needs.
  • Strong discretion and the ability to maintain confidentiality when dealing with sensitive business matters.
  • Thrive in a rapidly changing environment, demonstrating adaptability and a proactive approach to evolving business needs and priorities.
