We are seeking a detail-oriented, customer-focused Scheduler to join our Radiology Imaging Call Center team. The Scheduler is responsible for handling inbound calls from patients, providers, and other healthcare professionals to schedule imaging appointments across our facilities. This role ensures an exceptional patient experience while maintaining accuracy, efficiency, and compliance with clinical and insurance guidelines.


Key Responsibilities:

  • Answer high-volume inbound calls in a professional, courteous, and efficient manner.

  • Schedule imaging procedures (e.g., MRI, CT, X-ray, Ultrasound, Mammogram) accurately based on physician orders, patient availability, and modality requirements.

  • Verify patient demographics, contact information, insurance details, and referring physician information.

  • Provide patients with clear instructions regarding exam preparation, arrival times, and location details.

  • Coordinate with imaging centers, technologists, and front office staff to manage appointment availability and urgent scheduling needs.

  • Ensure appropriate exam selection based on provided clinical indications and scheduling protocols.

  • Follow HIPAA guidelines and maintain strict confidentiality of patient information.

  • Use scheduling software (e.g., RIS/PACS, EMR, or EHR systems) to accurately enter appointment data.

  • Assist with rescheduling, cancellations, and follow-ups as needed.

  • Maintain up-to-date knowledge of imaging protocols, insurance requirements, and authorization procedures.


Qualifications:

  • High school diploma or GED required; Associate’s or healthcare-related education preferred.

  • Minimum of 1 year experience in medical scheduling, call center, or radiology/imaging environment preferred.

  • Strong communication and interpersonal skills.

  • Excellent organizational skills and attention to detail.

  • Proficient in data entry and use of scheduling/EMR systems (e.g., Epic, Cerner, RIS).

  • Ability to multitask in a fast-paced, high-call-volume setting.

  • Bilingual (English/Spanish) is a plus but not required.
