Position Overview:

This customer service focused position will be responsible being the integral connection between clients, distributors, and internal stakeholders, ensuring seamless communication and efficient coordination. This position will also be responsible coordinating the Sales Sample process.

Responsibilities include but are not limited to:

  • Customer Communication and Cross-functional Collaboration
    • Be the primary contact for clients, distributors, and internal teams, addressing inquiries promptly and ensuring a positive client experience.
    • Work closely with the sales, production, and logistics teams to ensure seamless operations.
    • Provide accurate and detailed information about products, services, and order status.
  • Order Processing
    • Receive and process customer orders, ensuring accuracy and timeliness.
    • Utilize Electronic Data Interchange (EDI) systems for efficient order processing.
    • Coordinate with production and logistics teams to track and update order status.
    • Communicate any delays or issues to customers and propose suitable solutions.
  • Inventory Allocation and Verification
    • Manage inventory allocation and customer forecasts to fulfill customer orders efficiently.
    • Verify inventory levels and coordinate with the inventory control manager to ensure accurate stock information.
  • Issue Resolution
    • Address and resolve customer concerns, including product defects, shipping issues, and quality complaints.
  • Documentation and Record Keeping
    • Maintain accurate and organized customer records, order histories, and communication logs.
    • Utilize EDI systems for efficient documentation and data exchange.
    • Generate reports and analyze data to identify trends and areas for improvement.
  • Communication with 3PL
    • Collaborate with various Third-Party Logistics providers globally to coordinate shipping and distribution.
    • Ensure seamless communication and alignment with 3PLs on inventory levels, order fulfillment, and shipping logistics.
    • Strong written and verbal communication skills with exemplary execution of tasks.
  • Sales Sample Process
    • Responsible for processing (opening, unboxing, unpacking) organizing, and tracking samples.
    • Conduct Quality Assurance of all incoming samples with product data against merchandise.
    • Partner with operations team to obtain ETA’s (Estimated Time of Arrivals) and report data to requesting teams.
    • Manage sample logistics and work with partners to effectively communicate product prioritization.
    • Reviews the TBD Container Report daily to keep track of estimated sample arrival dates.
    • Utilizes the Sales Sample Tracker Form to keep an active log of any incoming Sample Requests.
    • Participates in Weekly Meetings discussing product development timelines to ensure adequate product knowledge and estimated on shelf dates.
    • Communicates cross-functionally between Sales, Operations, and Creative teams to meet request deadlines and maintain sample order accuracy.
    • Utilizes the Sample Master Form to gain knowledge of production start dates and estimated sample availability dates.
    • Route and track samples according to order requirements and desired destinations.
    • Collaborates and works diligently to find solutions to sample challenges.
    • Adheres to schedule requirements and reports issues as needed to manage partner expectations.
    • Takes a keen approach to learning and researching products in order to enhance their ability to identify issues and inconsistencies in the merchandise.
    • Always mindful of the sample process and adds value by continuing to improve efficiency, streamlined procedures and proactive communication.

Qualifications

Skills, knowledge and abilities:

  • Education: High school diploma or equivalent; Bachelor’s degree preferred.
  • Experience:
    • Previous experience in customer service, preferably in a manufacturing environment.
    • Demonstrated experience with Electronic Data Interchange (EDI) systems.
    • Experience in inventory management and coordination with 3PLs a plus.
  • Communication Skills: Excellent verbal and written communication skills.
  • Problem Solving: Strong problem-solving skills and the ability to make decisions quickly.
  • Organizational Skills: Attention to detail and the ability to manage multiple tasks simultaneously.
  • Team Player: Ability to work collaboratively with cross-functional teams.
  • Computer Skills: Proficient in using CRM software, Microsoft Office, and other relevant tools.
  • for leading the Operations team by allocating and coordinating workflows and identifying best practice to ensure service delivery standards are met. Independently determines the work priorities of the position, consistent with prescribed deadlines.

Full-time on-site position located at our company’s headquarter offices in Boca Raton, Florida.

For this reason, we work in the office Monday through Thursday. We have chosen Friday as our weekly remote workday as we believe it to be the day that is most beneficial and effective for Basic Fun! and our employees.
