Special Projects Coordinator

As we continue to grow, Westfalia is looking to hire a Special Projects Coordinator to join our team. The Special Projects Coordinator serves as a liaison to clients along with internal and external resources during the development and execution of Special Projects. Special projects include internal and externally generated and executed projects and initiatives. Responsibilities include planning, coordination, and execution of the projects and initiatives.

 

 Job Functions:

  1. Project Planning: Work with available resources to develop detailed project plans, including timelines, budgets, and resource allocation, to ensure successful execution of after-market projects.
  2. Client Engagement: Collaborate closely with clients to understand challenges, develop proposed solutions, provide updates on project progress, and resolve concerns. Communicate with clients during installations to ensure continued alignment and manage expectations.
  3. Resource Management: Coordinate and allocate internal and external resources, such as team members, inter-departmental resources, vendors, client resources, and contractors, to meet project objectives.
  4. Safety Management: Work with internal and external resources to identify opportunities for safety improvement and implement best practices to enhance project safety in design and execution.
  5. Quality Assurance: Maintain a focus on quality assurance and ensure that projects are delivered to the highest standards, meeting client expectations.
  6. Budget Control: Monitor project budgets and expenditures to ensure projects are completed within budgetary constraints. Prepare subcontractor proposal packages for installation and services, including scope of work, specifications, prices, billing and payment terms, schedules, and commercial terms.
  7. Risk Management: Identify and mitigate potential risks that could impact project success, implementing effective strategies to prevent or reduce impacts.
  8. Documentation: Maintain accurate project documentation, including project plans, status reports, change orders, schematic/program updates.
  9. Continuous Improvement: Identify opportunities for process improvement and implement best practices to enhance project management and client satisfaction.
  10. Travel: Travel to client site meetings as well as to suppliers for inspection and coordination may be required. The amount of travel may vary dependent upon the complexity of the projects and the number of projects being managed.
  11. Other: Other tasks, assignments, and duties as assigned under the direction of the leadership team.

Qualifications

Required Skills/Abilities:

  • Excellent interpersonal and client service skills.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and diligence.
  • Strong analytical and critical thinking skills.
  • General understanding of, or the ability to quickly learn, about the projects or initiatives being developed.
  • General computer skills including proficiency with Microsoft Office Suite or related software.

 

Education/Experience:

  • Degree or certificate in engineering discipline or related field of expertise.
  • Automated electro-mechanical systems experience in construction, installation, operation, and/or maintenance.
  • Project Management experience

 

Desired:

  • PMP Certification
  • Bilingual in English, and Spanish or German
  • CAD basic skills
  • Experience in the Material Handling business which conveyors, case conveyors, storage systems, PLC controls, Warehouse Management Software, and installations.
