JOB DESCRIPTION
Position Title: Accounts Payable Coordinator
Employment Classification: Full-time; Hourly; Non-exempt

Reports to: Controller
Department: Finance

Position Summary: Responsible for accounts payable processing in Financial Edge, maintaining all Vendor data, various financial and accounting duties such as month-end financial statement closing process, including the preparation of journal entries, banking for daily cash deposits and assisting the Controller in any other financial tasks as necessary.

 

Major Areas of Responsibility:

o Review all invoices for appropriate documentation and approval prior to payment.
o Review GL distribution coding on all invoices for accuracy.
o Prepare Cash Requirements report for Controller to review prior to the check run.
o Match invoices to checks, obtain all signatures for checks and distribute checks accordingly.
o Prepare the Positive Pay Report for upload.
o Maintain Recurring Invoice List to insure timely payments and accrue when necessary.
o Audit and process credit card bills.
o Set up new vendors in the financial software and maintain the vendor W-9 files.
o Respond to all vendor inquires.
o Reconcile vendor statements, research and correct discrepancies.
o Create WebPortal logins and train new staff.
o Prepare 1099 Annually.
o Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
o Prepare the credit card files for staff to complete and upload document for FE.
o Participate in the financial statement month-end closing process.
o Support the Controller in preparation of information related to financial audits of the organization.
o Support the Development Department with collection of funds at events, and reconciliation and reporting of fundraising event results.
o Assist the Samueli Academy with food day events or other special events when our help is needed.
o Assist with the Holiday Drive as needed.

Knowledge, Skill and Experience Requirements:
o High School Diploma required.
o 2+ years of experience in Accounts Payable, preferably in the nonprofit industry.
o Knowledge of Blackbaud software, including Financial Edge and Raisers Edge a plus.
o Possess strong organizational and time management skills.
o Proficient in Microsoft Office applications, 10-key touch.
o Strong written and oral communication skills.
o Strong problem-solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills.
o Possess a valid California drivers license and proof of automobile insurance.  Position requires DMV clearance.
o Must be able to pass a criminal background check, FBI/DOJ fingerprinting, TB test and drug screen.

Working Environment/Physical Requirements: Position may require use of personal vehicle. Physical requirements include standing, sitting, typing, bending and lifting up to approximately 15 lbs. (i.e. tables, chairs, food, water, etc.)

 

Modification to work schedule may be made based on need of the Foundation.
