Basic Function: Performs a wide range of administrative and office support activities for the Director of Ministry Advancement and the President, provides courteous and effective donor care, and plans and coordinates all Ministry Advancement events.


  • Maintains calendar, makes appointments, and schedules meetings for Development
  • Maintains records and files, including communication records from appointments and donor follow-ups for the Director of Ministry Advancement (Director) and President
  • Maintains the Development budgets
  • Manages mail, email, and telephone communication for Ministry Advancement
  • Assists the Director in developing a donor plan and tracks progress monthly
  • Develops systems for improving Development relationships
  • Prepares and edits correspondences, mailings, and other documents on behalf of the Director and President
  • Assists the Director with quarterly board reports and other reports as assigned
  • Provides excellent service to donors of all levels
  • Communicates with donors and staff via phone, email, mail, or personally regarding all donation inquiries
  • Processes recurring, credit card, and EFT donations; contacts donors and field staff when transactions are declined or cards are expired
  • Processes check deposits, enters data in Donor Direct Studio Enterprise (DDSE), and prepares and sends receipts
  • Maintains DDSE accounts and enters new contacts received from various sources
  • Hosts visitors to the EEI headquarters
  • Plans and coordinates all aspects of Ministry Advancement events
  • Exercises considerable judgment and discretion in negotiations and contracts with vendors for events
  • Creates and analyzes reports for events and campaigns including event follow-ups
  • Prepares and tracks foundation and grant proposals
  • Schedules and coordinates meetings, including but not limited to, preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and disseminating meeting minutes
  • Participates in the quarterly Ministry Advancement Themes planning meetings and other meetings as requested
  • Creates and submits expense reports
  • Travels domestically for events four to six times per year; travels internationally one to two times every three years
  • Performs office cleaning tasks according to cleaning schedule
  • Other duties and projects as assigned
  • Bachelor’s degree or equivalent and two to four years related experience, or equivalent combination of education and experience required
  • Must have or be able to obtain a valid Passport for international travel
  • Strong organizational, problem-solving, and analytical skills
  • Knowledge of office administration and procedures, data entry, and general bookkeeping procedures
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm and initiative
  • Advanced written and verbal communication skills; ability to produce reports and business correspondences free of grammatical, spelling, and punctuation errors
  • Ability to manage a broad variety of projects simultaneously and work within deadlines

  • Occasionally required to lift/push light weights 25-50 pounds
  • Specific vision abilities required for this job include close vision, distance vision, peripheral, depth, and ability to adjust or focus
  • Utilize visual acuity to operate equipment, read technical information, and/or use a keyboard
  • The noise level in the work environment usually is quiet

FLSA: This position works at the Arden, NC headquarters; is full-time, exempt, salary, Monday – Friday with flexible office hours.
