Position Overview

The University Mail Room Student Worker is a Federal Work Study Program (FWSP) student technical position which is an essential member of the university's administrative support team. This position offers a valuable opportunity for a current student to gain practical experience while contributing to the efficient and organized functioning of the mail room. The student worker will be responsible for processing incoming and outgoing mail, handling packages, and providing excellent customer service to the university community.

 

Hours per Week

The University Mail Room Student Worker position is part-time and will generally require up to 25 hours per week during the academic year and 35 hours per week during the summer semester.

Department Specific Job Functions

  • Mail Sorting and Distribution:

Receive, sort, and distribute incoming mail and packages to appropriate recipients within the university. Ensure accurate and timely distribution of mail to housing student recipients.

  • Package Management:

Manage the intake and tracking of incoming packages and notify recipients of their arrival. Assist with outgoing package preparation and shipment, ensuring proper labeling and documentation.

  • Customer Service:

Provide friendly and courteous customer service to students, faculty, and staff who visit the mail room. Assist individuals in locating their mail or packages, answering inquiries, and addressing any concerns.

  • Mail Room Organization:

Maintain the organization and cleanliness of the mail room, ensuring a safe and efficient work environment. Manage mail room supplies and inform the supervisor when supplies need replenishment.

  • Mail Forwarded and Returns:

Handle mail forwarding requests for students and staff who are temporarily away from the university. Process undeliverable mail and arrange for proper returns or forwarding as necessary.

  • Package Notifications:

Utilize mail tracking systems to update recipients on the status of their incoming packages. Ensure accurate and timely notifications to recipients when packages are ready for pickup.

  • Data Entry and Record Keeping:

Maintain accurate records of incoming and outgoing mail and packages. Assist in data entry tasks related to mail tracking and reporting.

  • Collaboration:

Work collaboratively with other mail room staff and student workers to efficiently manage the workload and ensure excellent service.

Enrollment Requirements

Fall/Spring Semesters: All student employees must be enrolled at least half-time to be eligible to work any UCO student position. Half-time enrollment for fall/spring semesters is considered 5 hours for graduates and 6 hours for undergraduates. International students must be enrolled full-time to be eligible to work as a student employee. Full-time enrollment is 9 credit hours for graduates and 12 credit hours for undergraduates.

Summer Semester: Student employees working regular student positions must be enrolled in at least 3 credit hours to be eligible to work during the summer. Students not enrolled in summer classes must be enrolled in fall classes in order to work during the summer, but they (and the department) will be required to pay FICA taxes. Student employees working FWSP positions must be enrolled in a minimum of 6 credit hours (if undergraduate) or 5 credit hours (if graduate) in order to work during the summer in a Federal Work Study Program position.

Enrollment Exception: If the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of hours needed to graduate and anticipated graduation date) and submit it to Human Resources. FWSP Requirements

In order to be considered for the Federal Work Study Program (FWSP), you must be awarded work study through the Office of Financial Aid & Scholarships, and you must accept your FWSP award in UConnect. Please be aware, the summer FWSP award is a separate application process and not included in the FWSP award for fall/spring.

Enrollment requirements for FWSP employment are the same each semester. Undergraduates must be enrolled in a minimum of 6 credit hours, and Graduates must be enrolled in a minimum of 5 credit hours. If a student is enrolled in their final semester and the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of remaining credit hours needed to graduate and the anticipated graduation date) and provide the letter to the hiring department for submission to Human Resources. Qualifications/Experience Required

  • Current enrollment as a full-time student at the university.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to multitask and work effectively in a fast-paced environment.
  • Basic computer proficiency and familiarity with office software.
  • Reliability and punctuality are essential for this position.
