TITLE: Advancement Administrative and Campaign Specialist

 

DEPARTMENT: Advancement

 

Classification (FLSA): Nonexempt, Hourly

 

REPORTS TO: Vice President for Advancement (VPA)

 

GENERAL DESCRIPTION: The Administrative and Campaign Specialist supports campaign and fundraising success by providing administrative, organizational, and campaign support to the VPA, Executive Director of Donor Relations (EDDR), and on occasion other Donor Relations Officers or Advancement Directors, under the direction of the VPA.

 

CHIEF DUTIES AND RESPONSIBILITIES:

  • Administrative and General Support for the EDDR
    • Prepare materials for visits or other events
    • Prepare mailings to donors and others
    • Coordinate and manage Advancement’s participation at galas or similar events
    • Assist with scheduling and coordinating events or other meetings
    • Assist in preparing and editing donor correspondence and reports
    • Assist in organizing annual assessments, planning and management efforts
    • Other duties as discussed and assigned
  • Administrative and General Support for the VPA
    • Manage, edit, and handle appropriate correspondence and drafting for the VPA
    • Serve as the point of contact for all Advancement Team requests for reviews or approvals by the VPA
    • Coordinate projects as assigned by the VPA
    • Assist in preparing reports as assigned by the VPA
    • Assist the VPA in organizing annual assessments, planning, and management efforts
    • Assist in preparing and monitoring budget and expense reports
    • Manage the annual state charitable solicitation registration process
    • Coordinate on-and off-campus retreats, meetings, and social gatherings for the Advancement Office
    • Assist with Summer Consortium, Christmas at Christendom, and other events as needed
    • Maintain hard and electronic files for the VPA
    • Purchase office supplies and resources for the Advancement Team
    • Assist in managing the VPA's appointments and calendar
    • Assist in managing the VPA’s e-mail
    • Other duties as discussed and assigned
  • Other Support as time allows
    • Assist with responding to donor communications
    • Assist with responding to Principles inquiries
    • Assist the Executive Director of Engagement with administrative tasks
    • Assist Donor Relations Officers with administrative tasks

Qualifications

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • A deep desire to support the mission of Christendom College
  • Ability to be an excellent member of a team and to build strong working relationships
  • Excellent follow through
  • Excellent oral and written communication skills
  • Excellent organizational, interpersonal, and administrative skill
  • The ability to handle information with complete confidentiality
  • The ability to plan, prioritize, organize, and carry out multiple projects concurrently
  • Proficiency in Microsoft Word and Excel
  • A college degree with at least two years of experience in administrative support or related work

 

PHYSICAL / MENTAL / EMOTIONAL REQUIREMENTS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 50 pounds.
  • Must be able to make quick decisions.
  • Must be calm in stressful situations.
