Summary:

Working closely with the Artistic Director, General Manager, Artistic Staff, and Visiting Artists, the Artistic Planning Coordinator provides high-level administrative and logistical support for all Artistic Department and Company dancer activities. The Artistic Planning Coordinator is responsible for Company related scheduling, casting documents, and class/rehearsal/studio matters. In addition to adaptability and attention to detail, this position requires someone who is adept at building and adjusting complex schedules, well-organized, self-starting, and decisive.

Workdays are primarily Tuesday – Saturday, from 9 am - 6 pm and will include additional evening and weekend hours depending upon the week’s activities.

Essential Duties and Responsibilities:

  • Create and manage the daily schedule for 60+ dancers, adhering to the dancers’ union contract (AGMA) rules in a deadline driven atmosphere. The schedule includes class, rehearsals, performances, fittings, interviews/talks, meetings, stage calls, and/or other activities for the Company dancers and Artistic Staff.
  • Work closely with the Artistic Director, Artistic Staff, and Visiting Artists to analyze rehearsal needs for each ballet and develop efficient rehearsal plans to prepare for the season’s performance programs and tours.
  • Act as the Artistic Department liaison with multiple departments (including production, wardrobe, development, music, academy, marketing, and public relations) to coordinate general artistic, studio, and rehearsal needs.
  • Generate and disseminate casting documents to dancers and applicable departments, adhering to the union deadlines, making amendments as necessary on a continuous basis.
  • Keep detailed records of ballet-specific information and develop reference information for future staging and archival purposes.
  • Track Artistic and Company dancer related data, as assigned by the General Manager.
  • Coordinate with the Marketing Department to create and proof the performance casting inserts.
  • Attend technical and dress rehearsals to take notes for the Artistic Director, Artistic Staff, and Visiting Artists.

Qualifications:

Minimum Requirements:

  • Bachelor’s Degree or equivalent experience.
  • 3 to 4 years administrative experience, preferably with a performing arts organization.
  • Knowledge and previous experience in ballet/dance essential.
  • Knowledge of AGMA Collective Bargaining Agreements preferred.
  • Exceptional attention to detail.
  • Excellent organization and time management skills.
  • Strong writing, grammar, proof reading, and editing skills.
  • Proven ability to problem-solve and adapt in a fast-paced environment.

Language/ Math/ Reasoning Ability:

  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Computer Skills

  • Basic personal computer skills including electronic mail, word processing, spreadsheet, graphics, etc.
