Job Summary

The Commercial Loan Assistant provides support to Commercial Loan officers, as well as exceptional service to both internal and external customers. The Loan Assistant acts as a liaison between Commercial Loan Officers, the Loan Administration staff, and commercial banking customers.


A Commercial Loan Assistant's responsibilities include:

  1. Provide extraordinary service by responding timely to requests for information, researching discrepancies and resolving issues.
  2. Escalate issues and problems and communicate with bankers as appropriate.
  3. Assist bankers in reviewing all documents necessary to onboard new client relationships and close new and renewed credit facilities.
  4. Assist clients in making advances and pay downs on committed loan facilities and with completing routine treasury activity such as transfers and overdrafts.
  5. Monitor loans and deposits, overdrafts, past due ticklers and collateral and documentation exceptions and communicate with bankers as appropriate.
  6. Correspond with applicant(s), internal employees and outside vendors in obtaining all necessary documents to underwrite, process and close new loans as well as renewals or obtain expiring or lapsed documents, to include title policy, UCC searches, etc.
  7. Assist bankers in obtaining current collateral, financial and legal information and scan to appropriate internal storage.
  8. Assist in reviewing loan closing documents for approved commercial loans including promissory note, deed of trust, business loan agreements, guarantee and other required closing documents to prepare for loan funding.
  9. Consistently maintain a high level of communication with the Bankers and staff; communicate deadline changes and potential conflicts.
  10. Develop and maintain trusted, positive relationships with employees, clients, and vendors.
  11. Represent the Bank and Commercial Banking team in a highly professional manner.
  12. Complete job assignments in a professional, timely and efficient manner; organize and prioritize work.
  13. Maintain confidentiality; adhere to Core Bank policies and procedures; comply with laws, regulations and industry best practices.
  14. Promotes Core Bank's relationship banking culture through ongoing internal and external customer contact.
  15. Provides administrative support to the commercial bankers including reviewing documents, scanning financial and other documents to the loan files, and ordering credit, title and UCC searches.
  16. Answers customer inquiries concerning loan and account information.
  17. Handles customer issues and escalates issues to supervisor as needed.
  18. Assists bankers in clearing loan exceptions.
  19. Works cooperatively with other Loan Administration team members to insure all documentation is accurate and received in time for closings.
  20. Assists in maintaining commercial loans, as appropriate, including contacting customers to meet requirements and deadlines or handle administrative concerns.
  21. Performs a variety of clerical duties requiring knowledge of departmental procedures
  22. Regular attendance is required.
  23. Other activities, duties or responsibilities that are required of the individual may be assigned.



Education and Experience

  • High school diploma or equivalent required
  • Minimum of 3 years of banking experience, with time spent in loan administration roles preferred
  • Previous customer service experience
  • Experience with Sageworks and Abrigo preferred, but not required

Required Skills, Abilities, and Knowledge

  • Demonstrated proficiency with software applications, including Microsoft Office, CRM, and core banking systems
  • Strong working knowledge of banking regulations, lending policy, and documentation requirements.
  • Detail oriented with a high degree of accuracy
  • Excellent customer service skills
  • Excellent communication skills, both written and verbal.  Must be able to communicate tactfully with bank customers in handling issues of a relatively complex nature.
