Description

Position Summary:  Performs a range of technical, administrative and clerical duties in support of the agency, the department and/or manager(s) goals and objectives.

Job Responsibilities:

  •  Administrative Support – Independently and proficiently performs administrative tasks using appropriate office systems. Completes a wide range of diversified and confidential administrative support requiring discretion and independent judgement
  • Project Management – Works independently on a variety of special projects for management; coordinates and manages complex projects for department and supports management in business activities
  • Department Support – Working with the HUB Director, helps serve as liaison within the community, local, and regional stakeholders to promote goals, collaboration and growth of the agency as well as identifies opportunities and processes to engage clients for program enrollment
  • Referral Management – Completes intake and/or assessment process according to protocols, determine eligibility for program, assign referrals based on capacity in an efficient and timely manner
  • Customer Service – Ensure client, customer and department needs are being met through providing positive and excellent customer service; interacts and communicates with external stakeholders, including Board members and volunteers as needed
  • Documentation – Ensure accurate documentation, monitor and complete necessary reports in timely and accurate manner to meet funder and agency deadlines
  • Training and Outreach – Develop and maintain a training schedule for the agency, agency partners and agency staff; assist with planning, coordinating and leading regularly scheduled meetings; present to stakeholders, community leaders and at community organization meetings
  • Professional Development - Complete agency, accrediting body, and funder required training; establish and maintain positive, professional relationships with community organizations; participate in 1-2 professional development activities each year
  • Other Duties as assigned

 

Qualifications

Required Knowledge, Skills and Abilities:

  • Excellent written and verbal communication skills
  • Familiarity with database software: Microsoft Office Suite products (Excel)
  • Adhere to acceptable professional/clinical boundaries and confidentiality
  • Advanced administrative skills (e.g. office duties, reception and record keeping)
  • Strong organizational and analytical skills
  • Ability to multi-task
  • Highly self-motivated and able to work proactively, independently and as a team
  • Knowledge of Medicaid managed care plans.

Job Requirements:

  • Bachelor’s degree in Business/Health Administration, related field or equivalent experience preferred
  • 2-5 years’ experience in administrative support role or previous work experience in a public health or community-based organization
  • Flexibility to attend community events outside of office business hours required
  • Valid Driver's license and current auto insurance required

Essential Functions/Physical Demands:

  • Positional: Driving in accordance with job duties assigned. Infrequent standing and walking. Constant sitting.
  • Gross Mobility: Rare climbing, or crawling. Infrequent balancing, stooping, kneeling, or crouching. Frequent to constant reaching and handling.
  • Sensory: Rare tasting/smelling. Infrequent use of color vision. Occasional use of far visual acuity, depth perception, and field of vision. Frequent use of near and midrange visual acuity, and visual accommodation. Frequent to constant talking.
