Summary

The Accounts Payable Accountant (A/P Accountant) is responsible for the generation, administration and coordination of the Accounts Payable and Cash Disbursement systems and processes for all NatureBridge operations. You will also be responsible for providing excellent service to internal customers as well as external vendors. You will champion financial integrity through adhering to purchasing and cash controls and ensure that vendors are paid accurately and timely. You will work closely with program and administrative staff and report to the Controller.

Primary Duties and Responsibilities

Duties include (but are not limited to) the following:

Vendor Payments & Cash Receipt Management:

  • Verify that purchases have been properly authorized.
  • Generate payments to vendors in a timely manner.
  • Manage Microix Accounts Payable software system.
  • Ensure that payments are timed to avoid finance charges, earn discounts and to maximize cash flow.
  • Coordinate and facilitate tracking of vendor payments and contracts with staff.
  • Reconcile vendor statements.
  • Resolve disputed charges and balances with vendors.
  • Ensure that all transactions are properly coded.
  • Process customer refunds.
  • Process stop payment requests.
  • Maintain accurate check registers and cash disbursement journals.
  • Maintain vendor files and offsite filings.

Other Accounting Tasks:

  • Maintain vehicle and fixed asset files.
  • Process and file Form 1099 for vendors and consultants.
  • Manage fixed asset purchases within the annual capital expenditure budget.
  • Process monthly depreciation entries.
  • Process schools credit card payments to the organization.
  • Process year-end close entries in Abila MIP Fund Accounting with Controller.
  • Reconcile assigned Balance Sheet Accounts.
  • Assist in month-end close and annual audit preparation.
  • Manage the petty cash fund for the National Office.
  • Open mail weekly with development staff on site at the Golden Gate campus and process checks received in the mail via remote deposit.

Compensation:

  • $50,000-$55,000 annually

Experience, Competencies and Education

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Skills & Experience:

  • Working in an accounting function, managing vendor payments, processing cash receipts, completing bank reconciliations or other accounting-related tasks.
  • Experience with the use of computerized accounting systems, preferably Abila MIP Fund Accounting Software; Microix Accounts Payable Software preferred.
  • Strong computer skills, especially with spreadsheets. Proficiency in Microsoft Excel, Google Sheets, Microsoft Word and Google Docs
  • Bachelor's degree in a related field and 2 years accounts payable experience and/or equivalent combination of education and experience

This job operates 80% from home and 20% in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The noise level in the work environment is usually moderate.
