OVERVIEW

 

The Admission Database Assistant is responsible for supporting the day-to-day operations of the database system, including processing and record keeping of  admission applications and application materials.  Reporting to the Director of Admission and Enrollment Management, the Admission Database Assistant will perform various administrative tasks under the supervision of the Office Manager and Assistant to the Director of Admission and Enrollment Management in order to support the effective and efficient operations of the office.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Act as the point of contact for all data processing and application materials entry in the database
  • Prepare application materials for processing by compiling and sorting data received
  • Enter application materials for PreK through 12th grade and in an organized and timely manner
  • Create admission files, file all materials timely, and maintain the document filing system
  • Communicate with families regarding admission requirements, deadlines, procedures, and notify families of missing application materials required to submit an application 
  • Liaison with admission interviewers to manage the flow of application materials accessed during the interview process
  • Perform routine database queries to retrieve, update, and verify information to maintain accuracy of the applications
  • Work closely with the Associate Director of Admission to troubleshoot database issues and identify process enhancements
  • Manage annual summer shred planning to purge/move files in accordance with data retention policies
  • Assist in answering the phone, making appointments, and greeting visitors
  • Other duties as assigned by the Director of Admission and Enrollment Management

Qualifications

  • High School Diploma 
  • 2-5 years of administrative support, general office support, or data entry experience
  • Experience with Microsoft Suite and Google
  • Experience with Veracross or a CRM Database, preferred 
  • Must be comfortable with assisting with various clerical tasks throughout the day
  • Must exercise discretion and confidentiality when handling admission and enrollment matters
  • An educational philosophy consistent with the mission of the School
  • Proven ability to work collaboratively 
  • Strong writing, speaking, and organizational skills
