Inventory Management Specialist-HOUSG - 997744

Position Overview & Job Duties:

Oversees inventory for all Campus Enterprises facilities. Purchases new equipment, furniture and supplies. Utilizes inventory management, maintenance request, and safety management software. Schedules work and pays vendor invoices. Communicates regularly with residents and other campus offices.

  • Verifies physical condition and quantity of all materials, furniture, and equipment. Works with the campus surplus office to remove unwanted inventory. Uses an asset inventory management (AIM) system to monitor life expectancy of assets and schedule asset replacement.
  • Maintains an accurate inventory of each item in the main storage area, the satellite storage areas within Campus Enterprises, and the maintenance technician’s closets. Completes semi-annual audits of these facilities.
  • Purchases materials/parts as needed and pays invoices in a timely manner. Maintains knowledge of departmental and university wide purchasing practices for both purchase orders and credit cards. Works with departmental financial staff to properly document purchases.
  • Collaborates with UCO’s inventory/receiving manager to perform the annual verification of all assets valued over $2500, which includes fixed assets, moveable equipment, building additions, and land assets.
  • Orders keys, key cores, and hardware as requested by the access control specialist. Maintains inventory of all key cores, key codes, and keys assigned to faculty and staff. Performs regular audits and reconciles irregularities.
  • Manages all maintenance requests through FAMIS (Facilities Management Software); communicates with residents regarding urgent building information, upcoming visits, and delays in repairs. 
  • Manages email, phone and text communications for the maintenance area.
  • Provides regular reports to the Maintenance Supervisor, the Assistant Director, and the Director of Housing.
  • Inventories emergency closets in each residence hall monthly. Tests equipment and purchases replacements for any missing inventory.
  • Coordinates service recovery for the occasions when we fail to meet our high standards of service.
  • Attends morning update meeting daily and any other meetings as needed.
  • This is an essential position and may be called on to work in the event of campus weather closure.
  • Performs other related duties as assigned.

Qualifications/Experience Required:

General education or vocational training and 4+ years’ relevant experience or equivalent combination of education and experience.

Preferred Qualifications/Experience:

Bachelor's degree. Inventory and inventory software experience. Must be proficient in Microsoft Excel and Outlook. Purchasing experience and familiarity with purchase orders and requisitions. Familiarity with building maintenance and systems. Must have a valid driver's license, clean driving record, and ability to operate a typical motor vehicle.

Knowledge/Skills/Abilities:

Regular attendance, initiative, teamwork, dependability, and promptness. Good customer service and organizational skills with ability to prioritize and set standards. Ability to interact professionally with hall directors, students, and housing personnel. Excellent organizational skills.
