We are looking for an administrative assistant to join our customer service office with strong customer service, multi-tasking, and scheduling experience.

Activities Administrative Support is a part time position. The position has a variety of duties necessary to assist the Events & Activities Manager in maintaining the Clearwater On Top of the World’s event and activity calendar. This includes coverage for both calendar reservations and back up for shuttle bus driver as needed. The Community Service Activities Coordinator is responsible for delivering excellent customer service and a point of contact for club and activity scheduling, calendar coordination, annual renewal of club paperwork, and special event planning. Position requires the ability to take direction, support the Events & Activities manager, as well as the ability to work independently and within a team environment.
  • Assist in the maintenance of paperwork and files for checks, cash or money orders related to facilities request fees, set up fees, damages fees, and any “held for each event” checks. Assist in the maintenance process of club paperwork as directed.
  • Coordinate annual renewals with approval from manager.
  • Assist in the maintenance of the calendar of activities/events for both Activity centers.
  • Scheduling of events for residents’ clubs, organizations, private parties and OTOW company representatives.
  • Monitor room availability and coordinate room changes as needed.
  • Communicate any changes with appropriate club and SCA facility members.
  • Assist in the coordination of activities and special events including but not limited to Fall Festival & Expo, safety seminars, CSO sponsored events for the community, and lunch and read programs, with management overview.
  • Make recommendations for new events for the community.
  • Prepare clear and concise activity reports for management as required.
  • Perform the following duties to maintain the Master of the Possibilities (MTP) program for Clearwater including and not limited to:
    • Registration and credit card processing.
    • Set up/tear down equipment such as microphones, sound speakers, video screens, projectors, video monitors, recording equipment, connecting HDMI cables and plugs for events, meetings and seminars.
    • Collecting, scanning and emailing MTP Course Evaluations to MTP Program in Ocala.
    • Email rosters & registration lists after each class and interoffice mail any cash payments to MTP Ocala.
  • Perform the following duties as back up for the On Top of the World Shuttle Bus:
    • Prepare bus schedule and rider list.
    • Call residents to confirm or cancel reservations.
    • Following OTOW Guidelines for Riding the Bus, transport residents to local designated shopping locations.
    • Monitor passengers into and out of vehicle.
    • Secure passengers, equipment and shopping bags to stabilize during trip.
  • Other duties as needed.
  • High School diploma, GED, or a combination of education and work experience.
  • Strong customer service experience, conflict resolution and people skills including verbal communication and empathy.
  • Proficient in Microsoft Office, preferably Word, Excel, and Outlook.
  • Event management and calendar coordination experience.
  • Strong multi-tasking skills and must be able to manage multiple priorities.
  • Current valid Florida driver’s license with acceptable driving history is required, CDL preferred.
