The Receptionist will play a pivotal role in the day-to-day operations and will assist with a variety of clerical and administrative tasks. As the first point of contact for families, staff, stakeholders, vendors, and visitors, the Receptionist must embody the ITAV values and create a welcoming environment. Some key areas the Receptionist will oversee are the management of personnel files; upkeep of the staff management system; assistance with facility operations and maintenance; and involvement in office and community events.


The Receptionist will report directly to the Site Director and will provide support on a variety of special projects from the administrative team, so strong communication and collaboration skills are essential.


Essential Duties and Responsibilities:.

  • Cultivate a welcoming environment, oversee day-to-day office activities, and act as the main point of contact for visitors, stakeholders, vendors, etc. 

  • Ensure the beautification and maintenance of the entrance of the site, creating a welcoming and visually appealing entrance that reflects the values and professionalism of ITAV, and enhances the overall experience for visitors and staff.

  • Oversee the visitor sign-in process, ensuring all guests are properly registered and accounted for, while providing a welcoming and secure environment.

  • Fluency in both English and Spanish is essential, enabling effective communication and support for our diverse community, including staff, students, and families.

  • Efficiently manage all incoming telephone calls, ensuring prompt and courteous responses. 

  • Accurately retrieve, document, and relay messages to the appropriate staff members, maintaining clear and effective communication channels within the organization.

  • Proactively communicate with parents to facilitate their attendance in all educational events, ensuring they have all the necessary information and support to participate fully, thereby enhancing their engagement and involvement in the ITAV community.

  • Manage the receipt and distribution of incoming package deliveries, systematically organizing and maintaining inventory to support operational efficiency.

  • Efficiently distribute incoming mail, ensuring timely and accurate delivery to the appropriate recipients and maintaining organized records of all correspondence.

  • Proactively contribute to site efficiency by implementing preventive measures for potential issues.

  • Assist in the meticulous maintenance of comprehensive staff files, ensuring all records are accurate, up-to-date, and handled with the highest level of confidentiality and security.

  • Other Duties as assigned

Position Type: Full-Time




Required Education & Training: 

  • High school diploma or equivalent required.

  • 2+ years of office experience required. 

  • Bachelor’s Degree or some college experience in business administration, business management, or related fields is preferred.

  • Bilingual, English and Spanish are required
