VP of Facilities & Asset Management

PURPOSE OF POSITION:

Under the direction of the Chief Financial and Administrative Officer (CFAO), the VP of Facilities and  Asset Management provides the leadership, technical knowledge, and administration required for successful facilities management and development and maintenance of the real estate properties,  services, and facilities utilized by Covenant House New York. The position is responsible for leadership and execution of all facility management responsibilities including repair, maintenance,  construction, public safety and related activities. This position is also responsible for oversight of  Covenant House New York’s real estate property portfolio including, but not limited to,  acquisitions, dispositions, and relationships with landlords. This position requires significant in-person presence at CHNY sites in Manhattan and the Bronx. There can be some flexibility for occasional remote work. 

 

DUTIES AND RESPONSIBILITIES 

(Responsibilities to include but not limited to the following) 

 

Facility Management 

  • Supports all facilities staff; plans and directs all maintenance services, repairs and  construction projects 

  •  Manages the agency’s facilities-related inventory of supplies, materials, and equipment  including periodic facilities and equipment condition assessments.

  • Supervises the Director of Facilities to ensure adherence to Covenant House New York’s policies and standards of all facilities-related staff members.

  • Manages facilities budgets, participates in short- and long-term budget development,  and identifies any needed facility operation area expenses.

  • Ensures facilities staff maintain relevant credentials and obtain timely training on agency and regulatory standards.

  • Coordinates with relevant internal personnel on matters relating to company properties including regulatory/governmental, safety, legal and others to ensure compliance.

  • Serves as primary contact and liaison on facility-related audits and inspections.

  •  Stays up to date on local, state, and federal laws and regulations that impact the  management and compliance of CHNY properties 

 

Public Safety Management 

  • Supports all public safety staff; provides effective security for CHNY to include physical security, safety, incident response, alarm response, and visitor control.

  • Manages and effectuates policies that ensure a secure environment across all CHNY  locations.

  •  Supervises the Director/Manager of Public Safety to ensure adherence to Covenant  House New York’s policies.

  • Manages public safety budgets, participates in short- and long-term budget development, and identifies any needed expenditures that improves the safety of the  CHNY community.

  • Ensures public safety staff maintain relevant credentials and obtain timely training on agency and regulatory standards.

  • Coordinates with relevant internal personnel on matters relating to company properties  including regulatory/governmental, safety, legal and others to ensure compliance

  • Develops, implements, and maintains Emergency Management Plan in accordance with  all applicable statutes, regulations, latest standards, and guidance.

  • Manage emergency and disaster preparedness, response, recovery, and mitigation  efforts.

  • Serve as the Incident Commander during emergencies 

 

Real Estate Portfolio Management  

  • Works with executive management to identify properties for leasing opportunities and negotiates terms of lease agreements.

  • Represents Covenant House New York as appropriate when Covenant House New York is a lessee, lessor, buyer, or seller of property.

  • Oversees the development of a clear strategy that ensures a smooth handover from  construction to operation and establishes the handover procedures of the project 

Management and Leadership  

  • Oversees the Director of Facilities and Director/Manager of Public Safety who support  approximately 35 frontline staff.

  • Supervises a Facilities Administrative Coordinator and Receptionist.

  • Anticipates issues, prioritizes, and plans the team for efficient and realistic action plans  on a wide variety of projects and ensures completion of projects/plans within set  deadlines.

  • Serves as a liaison between executive management, program, public safety, finance, and  development on coordination of current and future facilities and real estate initiatives.

  • Develops and maintains written policies, procedures, and protocols.

  • Conduct random site inspections on all shifts and periodic safety and security audits to identify deficiencies and increase efficiency of service.

  • Always upholds CHNY’s mission, vision and principles, standards of conduct, policies, and procedures.

  • Performs other duties as assigned and/or needed by Executive management

Qualifications

KNOWLEDGE, SKILLS, & ABILITIES 

Education & Experience 

 

  • Bachelor's degree from an accredited college or university preferred; MA or MS in relevant fields preferred.

  • Additional real estate-specific coursework desired, with recognized real estate designation such as RICS, MCR, CCIM, or CPM preferred.

  • NYC Certificate of Fitness for Fire Life and Safety Director (F89/T89).

  • Minimum of 5 – 10 years’ experience in the areas of leased property acquisitions/disposition and portfolio management, real estate development,  construction management, architecture or similar role preferred. Experience with one  or more NYC projects is preferred.

  • Demonstrated experience and an overall understanding of the principles of real estate  development including leasing, design, finance, legal, construction and operations

 

Knowledge/Skills 

  • Demonstrated ability to lead a project team with proven project management,  organization, and presentation skills.

  • Working knowledge and understanding of HVAC controls, heating systems, electrical systems, construction methods/admin required.

  • Strong interpersonal, written, and verbal communication skills and the ability to operate independently while effectively managing relationships with internal and external  business partners.

  • Track record of integrity and sound judgment. 

  • Ability to adapt well to change in direction and priority in a fast-paced and deadline oriented environment.

  • Ability to assess and recognize quality and quickly recognize problems.

  • Must be computer literate and proficient in Microsoft Word, Excel, and PowerPoint.

  • A customer focused attitude and track record of delivering high levels of quality service.

  • Must be dedicated to the mission of Covenant House

  • Extremely discreet when working with sensitive and personal information

  • Ability to remain calm while handling high-risk or crisis situations.

  • Independently recognizes and performs duties that need to be done without being directly assigned.

  • Establishes priorities; organizes work and time to meet them.

  • Responds to supervision, coaching, and constructive criticism in a positive manner.

 

Annual Salary $115, 000.00

Schedule 9:00 am - 5:00 pm

Compensation

Covenant House New York offers a rich package of benefits including but not limited to full medical, vision, dental, life, and short and long-term disability insurance and other fringe benefits. Eligibility for medical benefits begins on the date of hire. PTO includes 3 weeks of vacation in the first year, 10 holidays, 13 sick days, 5 personal days, and birthday days off. Benefits include a 403b with employer contribution after 12 months. There are also multiple additional optional benefits (including additional life, disability, accident, and cancer insurance) available at significantly reduced rates. "CH is a vaccinated employer.
