Job Summary

The Administrative Assistant supports EdisonLearning’s Pittsburgh office. This role reports directly to the Vice President,  Instructional and Academic Services. This position handles highly confidential information on a regular basis and must perform duties in a manner that always maintains confidentiality and security of the office. This position is a Part Time in-office position 5 days per week.  

Main Responsibilities:

Admininistrative Assistant Support:

  • Manage the general operations of the office to include, but not limited to:
    • Manage the ordering of supplies, and running office-related errands, as directed by the VP, Instructional and Academic Services
    • Manage relationship with building management and vendors for the office; distributing notices to applicable employees when appropriate
    • Assist in resolving any administrative matters, including ensuring COVID protocols and other office policies are enforced in office
    • Collect and route mail timely to appropriate parties, process mail items as directed
    • Greeting, assisting, and/or directing visitors and calls to the appropriate individual
    • General upkeep of the office, office access and security
  • Prepare materials needed for conferences, correspondence, appointments, meetings, etc.
  • Set up building access, parking forms and key cards with new office staff and building management.
  • Equipment inventory tracking and maintenance 
  • Set up appointments with IT to wipe returned laptops and configure new hire computers.
  • Mail new laptops to employees
  • Organize group meetings and events in accordance with Company policy
  • Assist with maintaining accurate email distribution lists with IT department
  • Support other leaders with special projects as needed at the direction of the VP,  Instructional and Academic Services to include, but not limited to:
    • Fulfilling and coordinating Business Development employee needs
    • Assist with preparation, organizing and tracking of conferences and departmental meetings
    • Assist with general notices, reference checks, onboarding/offboarding, orientation scheduling, tech equipment follow-up, and ensuring clearances are received for new hires
  • Participate in staff meetings.
  • Participate in bi-annual evaluations.
  • Other duties as assigned.

Internal: Company Executives, Instructional Support Services team, Business Development, Tech support team, Human Resources, and Finance team

External: Vendors, building management, students, parents, clients, school district personnel, other community members as necessary

Qualifications

Background:

  • High School Diploma with some college/training preferred
  • Experience in education and Human Resources experience preferred.
  • Strong written and verbal skills
  • Proficiency with Microsoft Excel, PowerPoint, Word, and Outlook
  • Proficiency with multimedia communication tools and programs
  • Ability and availability to travel into the Pittsburgh office daily.
  • Strong employee and/or customer relations experience preferred.
  • Superior interpersonal and relationship building skills, including excellent verbal and written communication.
  • Ability to work with minimum supervision.
  • Demonstrated ability to manage multiple tasks successfully.
  • Demonstrate diplomacy and ability to handle confidential and sensitive information.
