Position overview:

As the Event Marketing Coordinator, you will be the driving force behind Nearpod’s owned and sponsored events strategy and execution. You will have end to end responsibility for our participation in dozens of education industry events (national, regional, and international). You will also play a key role in our owned physical and virtual events, including the Transform conference and Camp Engage.


Role & Responsibilities: 

  • Organize Nearpod’s conferences and event sponsorships from end to end, including:

    • Developing event proposals, covering timelines, production costs, potential vendors, staffing needs, goals, and experiences 

    • Negotiating and booking sponsorships and venues

    • Working with designers and vendors to design and deliver booth presence, signage, AV, etc.

    • Overseeing events on-site (major events) to ensure all is running well

    • Ensuring proper lead collection and lead routing post event

    • Working with Field Marketing, Sales and Customer Success to develop strategy for each event, including goals, messaging, on-site experience, etc.

    • Submitting and organizing sessions when possible / appropriate

    • Identifying and executing on creative ways to achieve Nearpod’s objectives for each event

  • Work closely with Nearpod’s Community Manager to plan and manage Nearpod’s owned events, including our physical user conferences (Transform) and virtual professional development events (Camp Engage), including:

    • Developing event strategy, including theme, schedule, attendee experience, etc.

    • Bookinging venue for conference and other events

    • Setting and managing budget

    • Co-owning project plan and timelines

    • Procuring / hiring vendors and materials, including signage, printing, swag, AV, etc.

    • Managing ticket sales

    • Supporting employee organization / communication

    • Overseeing event on-site to ensure all is running well

  • Manage overall events budget and schedule, ensuring on budget, on-time execution

  • Perform ROI analysis to ensure Nearpod is deriving value from events and make recommendations for future event sponsorships

  • Keep stakeholders across functions (Sales, Customer Success, Accounting, Logistics, Marketing, Professional Services, Product, Leadership) up to date on pertinent event information and ensure appropriate inputs to events strategies are being collected from them

  • Lean in to support other areas of Marketing as needed and time permits (especially as events ramp up post COVID-19)


Required Skills & Experience: 

  • Personal skills & abilities:

    • Highly organized (able to juggle many priorities, document, and communicate well)

    • Highly collaborative and able to manage a large number of stakeholders

    • Analytical and inquisitive, especially as it pertains to event ROI. Able to analyze event performance and apply learnings to future events, including both B2B and B2C KPIs (both admin leads and teacher sign ups)

    • Attentive to details

    • Strong communicator, including written (slides, emails, docs, marketing copy) and verbal (presentations, event briefings, vendor negotiation)

    • Creative thinker, who can turn goals/objectives into well-formulated event experiences

    • Able to problem solve, juggle and keep a cool head in the sometimes chaotic world of events

    • Confidence and authority to manage and direct event/booth staff at all levels

    • Able to manage vendors to ensure outstanding output on time and on budget

    • Skilled at negotiation and cost savings / getting more for less. Strong stewart of the company budget who ensures we get maximum value from investments. Understands the common negotiation tactics 

  • Physical skills and demands of the job:

    • Able to travel extensively as needed for events

    • Able work outside normal business days/hours as necessitated for events

    • Able to push and lift up to 25 lbs

    • Able to be on one's feet for long periods of time and handle the sometimes long days required for events

  • Experience & education:

    • Bachelor’s degree in Marketing or related field

    • Experience managing a company’s events strategy & execution, including trade show sponsorships and owned conferences

    • Experience and strong understanding of how trade shows and conferences work, including vendor management, components of events, typical timelines, cost watch outs, vendor landscape, and other best practices

    • Experience in K-12 education (preferred, but not required)

    • Working knowledge of necessary systems: Salesforce.com (especially for handling and tracking event leads), common events software, Tableau, GSuite (Sheets, Slides, Docs), AirTable
