The Facility Service Coordinator will collaborate closely with the Director of Maintenance and Zone Directors on scheduling services for all residential and office properties, while also overseeing the hiring of maintenance staff and the vehicle fleet.

 

Essential Position Functions:

  • Act as a primary contact between the Facilities Department and its service vendors.
  • Manage all service requests sent by the Director of Maintenance and Zone Directors.
  • Schedule building services as needed and verify that services have been provided and completed.
  • Communicate with various departments on scheduled services and inspections.
  • Oversee Facilities Department hiring of maintenance staff.
  • Review resumes and schedule interviews with potential candidates.
  • Conduct interviews with potential candidates.
  • Prepare background check paperwork, ensure accurate information has been provided, and send paperwork to HR.
  • Communicate with HR on the status of new hires.
  • Communicate with various programs and the Zone Director whenever a new staff member is hired.  
  • Maintain and constantly update the employee schedule sheet.
  • Other duties as assigned.
  • Oversee agency Vehicle Fleet
    • Communicate with Programs whenever vehicles need to be serviced.
    • Track all traffic violation tickets.
    • Manage parking permit applications and renewals.
    • Stay up to date with any important vehicle information such as registrations, insurance, and NY State inspections.
    • Schedule Tow services for cars that require repairs.

Qualifications

Required Knowledge, Skills, and Abilities:

 

  • Associate's or higher degree or minimum 4 years of experience.
  • Strong analytical and critical thinking skills, with the ability to analyze data and make informed decisions.
  • Excellent communication and people skills, with the ability to build strong relationships with suppliers and internal stakeholders.
  • Highly organized and detail-oriented.
  • Ability to work independently with minimal supervision.
  • Successful experience working under strict deadlines.
  • Comfortable working with multiple automated systems.
  • Ability to manage a wide range of projects simultaneously in a fast-paced environment.
  • Working knowledge of Excel, Microsoft, Outlook, Amazon, and Staples.
