Description

The Environmental assistant responsibilities encompass supporting and contributing to a successful Environmental Services Division through execution of compliance, geosciences, and/or natural resource tasks with the direction of a project manager/Operations Manager.   Responsibilities include performance of administrative and technical functions to support the division teams and operations including but not limited to assisting with project management functions; report and proposal preparation and QA/QC; general administrative and clerical support to Operations Manager and other managers. Environmental assistant responsibilities also include processing project Accounts Payable, tracking project budgets, tracking project allocations and updates, assist with preparation of cost estimates.  Secondary responsibilities include auditing of project files to comply with QMS requirements, technical subject matter research, drafting of site maps and plans, data interpretation, administrative management of applied technologies, and assist Operations Manager with driving continuous improvement efforts.

Administrative:

  • Provide administrative support to the Direct Report, Business Manager and others as assigned.
  • Demonstrate the highest degree of professionalism, initiative and discretion in performing duties.
  • Demonstrate a high level of clerical competence, with the ability to apply skills and knowledge to practical problems on a daily basis. 
  • Have a high level of skills and the ability to maintain positive relationships with all clients and to effectively and positively interact with staff at all levels of the organization.
  • Assist with scheduling of activities for Direct Report and maintenance of electronic calendars, schedule appointments, and make travel arrangements as needed.
  • Assist in preparation of reports and/or correspondence and support quality control review and formatting of client proposals and deliverables (review for style, grammar, punctuation, spelling, etc.).
  • Assist with file maintenance including file set-up, storage, retrieval and destruction.
  • Assist with purchasing of office supplies, computers and other office equipment and maintenance as required.
  • Assist with proper set up of and management of proposals and projects.
  • Understand, adhere and participate in the Raba Kistner Health and Safety and Quality Management System Programs and set a good safety and quality example.
  • Perform other duties as assigned.

Paraprofessional:

  • Data input from field notes and project documents.
  • Initial document drafting from templates.
  • Create various report components, attachments, appendices and exhibits.
  • QA/QC review of written deliverables.
  • Assist with scheduling field events, coordinating subcontractors and field supplies.
  • Assist with auditing projects for budget performance, expense postings and file documentation as required by QMS protocols.
  • Assist Direct Report with various technical and administrative tasks as assigned
  • Assist with regulatory research.
  • Assist with preparation of PowerPoint presentations.
  • Assist with the development, implementation and maintenance of proprietary or unique RKI software.
  • Performs other duties as assigned by Direct Report.
Qualifications

Employees shall possess the following minimum qualifications:

  • High school or G.E.D. certification, degreed professional preferred. 
  • Minimum 3 years of relevant paraprofessional experience.
  • Proficiency in Microsoft Office suite of software.
  • Proficiency in GIS, CAD or Visio.
  • Ability to quickly establish proficiency with RKI procedures and protocols for performing administrative work related to general administration and project work
  • Possess valid Texas driver’s license and meet company’s automobile insurability requirements.
  • Excellent written communication skills for preparing/assisting with proposals, reports, and other technical documents, including good vocabulary and grammar knowledge base.
  • Advanced level skills in Microsoft Office (Microsoft Word, Excel, Power Point) with minimum typing speed of 55-60 wpm.
  • Good organizational skills to utilize firm’s resources efficiently and effectively.
  • Good math skills to perform and verify calculations.
  • Ability to operate standard office equipment in a manner to produce quality documents.
  • Ability to produce reports in an accurate, efficient and timely manner meeting quality standards.
  • Requires a professional appearance, pleasant telephone voice, agreeable personality, and the ability to meet people and make them feel comfortable.
  • Ability to efficiently handle multiple tasks.
  • Must be self-motivated and have ability to work independently.
