This position supports EJW and is part of the Administration Unit. The Administrative Specialist is responsible for the management of multiple administrative functions to include acting as staff administrator for accounts payable and credit card systems. The Specialist is expected to work collaboratively with team members and other Equal Justice Works staff with a substantial degree of independence and confidentiality.

 

RESPONSIBILITIES

  • Provides onboarding and regular training on administrative policies, systems, and processes including but not limited to accounts payable and receivable, purchasing, credit cards, travel, expense reimbursement, time and attendance, and document retention.
  • Prepares invoices and allocates funds for vendor payment, ensuring timely processing of invoices and expenses; and reconciles Administration Unit credit card.
  • Coordinates or prepares the check log and gift processing and assists with donation or payment questions or problems.
  • Monitors compliance, performance, and management of contracts between Equal Justice Works, and external consultants, contractors, and vendors.
  • Supports and coordinates logistics management, including space utilization, procurement of  office supplies, repairs/improvements, storage, materials retention, and destruction.
  • Serves as point of contact for building services and address all building related issues or needs.
  • Maintains updated, accessible organization policies and procedures and serves as point of contact for compliance.
  • Supports outsourced financial staff with internal financial systems and processes, assists with annual audit and 1099 preparation, and other tasks as required. 
  • Supports VP, Administration with unit budget development and monitoring. 
  • Supports EVP in organizational budget development and monitoring. 
  • Other duties as assigned.

QUALIFICATIONS

REQUIRED SKILLS

  • Proficient in Microsoft Office and advanced Excel skills.
  • Strong verbal and written communication skills and excellent customer service skills.
  • Demonstrated skills using databases systems such as Concur, Nexonia and AnyBill.
  • Project management skills.
  • Strong interpersonal and communication skills.
  • Ability to organize and maintain records and documents.
  • Minimum 3 years of progressive experience in administrative support and record keeping.
  • Excellent organizational and time management skills.
  • Strong ability to collaborate and problem solve.
  • Strong attention to detail.

 

PHYSICAL REQUIREMENTS

  • Lifting responsibilities of up to twenty (20) pounds.

 

EDUCATION & EXPERIENCE

  • Bachelor’s degree and experience in administration, accounting, or related field.
  • Three or more years of progressive complex professional relevant work experience.
  • Experience in a nonprofit or other mission-driven organization preferred. 
  • Experience with A/P and other financial systems software; examples of systems include, AnyBill; Concur; ADP; Paycom; Intacct; and QuickBooks.
  • Experience in providing training and technical assistance.
  • Demonstrated experience in project/logistics management support.
  • Ability to prioritize and multitask under pressure.
  • Familiar with office management and administrative support.

 

LOCATION

Temporarily remote, however, typical daily activities are conducted in a typical office environment.

PLEASE NOTE:  THE SALARY FOR THIS OPPORTUNITY IS CURRENTLY CAPPED AT $52,000 ANNUALLY. HOWEVER, THIS POSITION HAS THE POTENTIAL TO RANGE UP TO $75,800 ANNUALLY, AS BUDGET PERMITS!
