Position Overview

The position of Events Coordinator is primarily responsible for onsite execution of logistical details for internal events, special events, or client rental events as directed by the Director of Events.  Additionally, the Events Coordinator will manage a variety of administrative tasks necessary for the effective management of the Events department workflow and the overall organization-wide calendar.      

 

 

Principal Responsibilities (Essential Functions)

  • Coordinate & execute a large variety of Events at the Walmart AMP and Walton Arts Center
  • Manage and upkeep Events Team inventory for both facilities (linens, signs, décor, etc.)
  • Coordinate Event vendor needs, payments, and communication with necessary managing parties
  • Plan, design, and execute internal WAC/AMP staff meetings and celebrations
  • Assist Director of Events on miscellaneous tasks as needed
  • Download, upload, and maintain Event documents in VenueOps and shared drives
  • Execute documents and reports in a timely fashion to keep all departments updated on Event details
  • Maintain Events Department calendar, schedule meetings and client walkthrough’s
  • Represent Walton Arts Center / Walmart AMP at both on and off-site events, as requested
  • Maintain collaborative and professional working relationships with teammates, fellow staff members from other departments, vendors, patrons, clients, and tenants of leased spaces
  • Maintain compliance with all company policies and procedures
  • Perform related duties as assigned by supervisor for which the employee is qualified and physically able to perform with reasonable accommodations

Minimum Qualifications

A background in event planning or hospitality services is required. 

This position requires travel to and from both facilities and so a valid driver’s license and access to reliable transportation are required.

 

Education, Training, Traits

  • High school diploma, GED or equivalent. 
  • Must have excellent written and verbal communication skills.
  • Bilingual language skills a plus.
  • Must be detail oriented, including the ability to process numbers and financial data accurately.
  • Must maintain professional standards and reputation when interacting with the public outside of the workplace and outside of working hours as a representative of the organization in the community.
  • Must be available to work flexible hours including days, nights, and weekends as needed to meet the needs of the event schedule
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to handle challenging situations and people with grace, tact, and quick thinking.
  • Must be comfortable speaking to groups of people.
  • Ability to work independently as well as with others to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.

 

Work Experience

  • One (1) year professional experience in an event planning or hospitality role or significant internship experience at a similar venue.

 

Physical

  • Must be able to lift and carry up to 50 lbs.
  • Must be able to talk, listen, and speak clearly on telephone
  • Must be able to work at a computer 
  • Must be able to endure sitting, standing, or walking for extended periods of time
  • Must be able to endure outdoor elements including cold, heat, wind, and/or precipitation
  • Must be able to work in large, crowded environments, with flashing lights, loud music and noises, pyrotechnics, and cannons as part of shows and events
