Job Summary
The Event Floor Coordinator is responsible for overseeing a wide range of events. Such events include conventions, tradeshows, meetings, galas, weddings, sports, concerts, and other forms of entertainment. The Event Floor Coordinator supports the Building Services team and serves as the venue liaison between clients and the operational staff. 

 

 

Requirement and Competencies

  • At least 2 years of customer service experience required.
  • Demonstrated ability to resolve customer and employee concerns in a courteous, professional, and effective manner.
  • Excellent communication and interpersonal skills.
  • Must be highly organized, with excellent attention to detail.
  • Ability to respectfully work and communicate within a diverse organization.
  • Ability to remain calm under pressure.
  • Ability to adapt to changes, delays, or unexpected events.
  • Ability to resolve problems and manage difficult situations as needed.
  • Ability to manage competing projects and prioritize accordingly.
  • Demonstrated strong work ethic and willingness to collaborate with team members.
  • Willingness to communicate via a variety of communication channels: radio, email, Slack, etc.
  • Proficient with Microsoft Office Suites, such as creating comprehensive word documents and outlook.

 

 

Preferred Qualifications

  • Advanced education in a related field.
  • Experience in an event-related position.
  • Understanding of facility management and/or fundamentals of event planning.
  • Understanding of legal regulations and requirements for events.

 

 


Essential Functions (Reasonable accommodations may be made for individuals with disabilities.)

  •  Serve as the event supervisor and primary contact for the client. Ensure readiness of items needed for events in the facilities, such as signage, room sets, tech, exhibitor services, etc.
  • Ensure readiness of all venue common spaces to ensure an exceptional guest experience.
  • Communicate with applicable departments to resolve event-related problems in an efficient and client-centric manner.
  • Remain visible and available during the entire length of the event by continuously circulating through the event if appropriate and maintaining a station nearby.
  • Continuously assess all elements of events, such as line management, parking, staffing volume, appropriate signage, and customer experience.
  • Manage orders for electrical, internet, and other exhibitor needs for events.
  • Perform other tasks assigned by Building Services management.

 

 

 

Schedule

The Event Floor Coordinator is expected to work varying shifts, hours and shifts will fluctuate each week. The estimated hours worked per week will range from 0-28 hours depending on business needs.

None

 

 

Work Environment & Physical Demands
The Event Floor Coordinator must be able to stay on their feet for multiple hours at a time. They must be able to walk frequently to different areas of the facility, along with standing, bending, climbing, kneeling, and lifting to 50lbs at a time. The temperatures will range from very hot, up to 90 degrees, to very cold, freezing winter temperatures. Events are held indoors and outdoors in all seasons.

 

 

Uniform
The uniform will vary by event and will include DECC-branded attire such as a shirt and a nametag. The employee is responsible for providing their own pants and shoes. Clothes should be clean and free from tears, stains and holes. Shoes should be clean, comfortable and closed toe.

Additional Eligibility Requirements

  • Must be 18 years of age or older.
  • Successful completion of reference checks.
  • Successful completion of a background check.
  • Successful completion of a drug test, if applicable.
     

 

 

Work Authorization/Security Clearance Requirements
The DECC uses USCIS Form I-9 to verify the identity and employment authorization of individuals hired for employment. On the form, an employee must attest to his or her employment authorization. The employee is required to present the DECC with acceptable documents evidencing identity and employment authorization at the time of hire. The DECC will examine the employment eligibility and identity document(s).  
The list of acceptable documents can be provided by Human Resources.

 

 


At-Will Employment
This position is at will. This means if you are offered the position and accept, your employment with the DECC is for an indefinite period of time and it is subject to termination by you or the DECC, with or without cause, with or without notice, and at any time. Nothing in this job description or any other policy of the DECC shall be interpreted to be in conflict with or to eliminate or modify in any way, the at will employment status of this position.

The at will employment status of an employee of the DECC may be modified only in a written employment agreement with that employee which is signed by the Executive Director or the Chair of the DECC Board of Directors.
