What You’ll Do:

 

The duties listed below are intended only as illustrations of the various types of work that may be performed in this position. They are not intended to prescribe or restrict the assignments that management may make.

 

  • Contribute to the team effort by accomplishing related projects and results as needed; can take direction with ease in multiple forms and work with all levels of internal management and staff.
  • Manage the front desk and phone.
  • Accomplish assigned tasks and projects as needed:
    • In-depth event planning for Lerch Bates Forums
    • Enjoy-The-Ride (ETR) events (planning and coordination)
    • Maintain kitchen, including monitoring inventory and submitting monthly office supply orders and maintaining PO order log for the following: coffee, tea, creamer, paper towels, toilet paper, cleaning supplies, and copier paper/toner.
    • Maintenance of copiers and filing, copying, and binding support assistance to staff as needed.
  • Manage conference room schedules and calendar updates as needed.
    • Ensure conference rooms are set up as requested for external and internal meetings.
    • Water, lunches coordinated (as requested), and go-to-meetings scheduled & started.
  • Handle FedEx or UPS shipping requests timely and with accuracy.
  • Provide a welcoming environment to internal and external clients.
  • Receive and deliver mail to appropriate staff on the same day received and ensured outgoing mail is prepped and picked up or taken for drop off as needed.
  • Ensure new hire items are prepped and ready for their first day: name tags, workstation set-up, Welcome slide, Lerch Bates shirt, calendar invites, phone list, bio/CVs.
  • Maintain a clean, stocked, and organized workspace at the front desk and in all common areas, including the break rooms, kitchens, copier areas, and conference rooms.
  • Maintain operation and/or content for the electronic bulletin board communications.
  • Oversee and coordinate office support services, including facilities management, vendors, and supplies.
  • Maintain up-to-date work instructions for the front desk office procedures binder.
  • Assist with the development and planning of Employee Resources Groups and Committees initiatives, as well as creating SharePoint content.
  • Assists HR Department with various administrative tasks, as needed.
  • Additional responsibilities as necessary.

 

 

What You’ll Bring:

 

 

  • High School Diploma or Equivalent
  • 3+ years of administrative experience
  • A demonstrated ability to multitask and maintain professionalism through multiple interruptions.
  • Proficiency in Microsoft Office Applications, specifically Word, PowerPoint, Outlook, and Bluebeam.
  • An ability to maintain and operate with a high level of professionalism and flexibility, adapting in a changing office environment, working with internal and external clients/coworkers and executives.
  • Exceptional grammar, business writing, and presentation preparation skills
  • Advanced verbal and written communication skills with all levels within and outside of the organization.
  • Experience exercising discretion and confidentiality with sensitive company information.
  • Excellent planning and organizational skills with an ability to think proactively and prioritize work.
  • Critical thinking, innovative, detailed orientated, and self-motivated with ideas and recommendations for increased productivity and efficiency.
