In a typical work week, you may expect the following tasks and responsibilities:  The Administrative Assistant performs office services to the pastor and Parish staff. This person assists the Pastor and Parish staff in planning and coordinating various parish activities and collection campaigns such as the Annual Catholic Appeal. This position is expected to be proficient in website editing and enhancing the parish’s social media presence as well as updating the database.  The Administrative Assistant is expected to use sound judgment in carrying out routine duties and responsibilities of the parish office.

 

 

Position Responsibilities: 

 

  1. Maintain the physical appearance of the office and conference room so as to present an organized atmosphere.
  2. Assist the pastor and other staff members in carrying out other duties as required for the quality ministry due to the people.
  3. Welcome, greet, and refer visitors. 
  4. Answer the telephone, take messages, and/or refer callers to an appropriate person.
  5. Work closely with the Bookkeeper to reconcile weekly finances.
  6. Assist with financial transactions, recordings, and deposits as needed.
  7. Provide both written and verbal correspondence as needed such as welcoming letters to new parishioners, etc.
  8. Maintain and prepare all parish and sacramental records.
  9. Notify other parishes of sacramental records and prepare duplicate certificates as requested.
  10. Collect and distribute mail daily.
  11. Work on parish mailings as requested.
  12. Maintain the office machines and copying materials, order office supplies (as needed or as requested).
  13. Provide clerical support services to the director of religious education, parish councils, commissions, and organizations as needed.
  14. Assist with planning and arrangements related to liturgical celebrations as requested.
  15. Perform other duties as assigned by the pastor and Pastoral Assistant for Administration.  
  16. Employee is required to do extensive close computer work. While performing the duties of this job, the employee is required to stand, walk, talk, reach, sit, hear, and use repetitive motion of the hands/wrists and feet. The employee may be required to lift up to 10 lbs.
  17. Regular, reliable attendance is required.

Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant’s skills and prior relevant experience, certain degrees and certifications.
