Department: Administrative Resource Center (ARC)

Reports to: Business Operations Manager

FLSA Status: Non-Exempt

Schedule: Monday – Friday on-site

Hours: 8:00am – 4:00pm with flexibility for paid overtime as needed

We are looking for…

Herrick is seeking a Guest Services Assistant to deliver superior customer service to all guests and personnel in the firm’s New York office. The ideal candidate must be interested in creating a welcoming and memorable experience for every guest. The ability to work within a team and across the organization are critical to being successful in this role.

 

Essential Duties and Responsibilities:

  • Greet every guest and all personnel with a genuine smile and warm welcome.
  • Enhance the guest experience by personalizing the assistance; address guests by name.
  • Respect the guest’s time by minimizing wait time and streamlining the process.
  • Answer and direct incoming telephone calls timely and professionally.
  • Enter guests into building management’s visitor system.
  • Responsible for assigning conference rooms and hotel offices noting all details including technology and catering requests.
  • Oversee conference room center; be aware of what meetings are taking place at all times, ensure meeting arrangements and transitions between meetings run smoothly, and make scheduling adjustments as needed.
  • Work collaboratively with the Hospitality Department to ensure conference rooms are well-maintained.
  • Ensure the reception area and business center are immaculate and well-organized.
  • Assist guests with general concierge information including but not limited to transportation, parking, hotel and restaurant recommendations.
  • Provide basic administrative support to those utilizing the conference room and business center as needed.

Qualifications

Knowledge, Skills and Abilities:

  • Bachelor’s or Associate’s degree preferred but not required; with a minimum of 1 year of experience working in a professional, client-facing environment.
  • Excellent guest service skills: engaging, attentive, responsive and caring.
  • Professional telephone etiquette.
  • Strong written and verbal communication skills to effectively communicate with all levels of firm personnel and clients.
  • Punctual, dependable, organized and detail oriented with the ability to multi-task.
  • Strong computer skills; proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams).
  • Self-motivated and able to work independently as well as part of a team.

 

The range of base salary* the Firm reasonably expects to pay for this role is $50,000 to $60,000.  The actual base salary for this role within the above range will be based upon factors such as experience and qualifications.

*The range listed is just one component of Herrick Feinstein’s total compensation and benefits package for non-exempt employees, which includes a discretionary bonus; health, dental, vision, life and disability insurance; and a 401(k) plan and profit-sharing plan.
