Description and Qualifications

The People Resources Coordinator (PR Coordinator) supports the administration of various People Resources Operations (PRO) programs by supporting the daily operations of the PRO team.  The role helps with the coordination of activities related to Human Resources Information System (HRIS) administration, compliance and safety, total rewards, employee leaves and data administration and recordkeeping for the associated responsibilities.  The PR Coordinator provides general frontline support for both internal (employee and leaders) and external customers. This position operates daily with highly confidential and sensitive information and communication.

 

ESSENTIAL JOB FUNCTIONS

General Responsibilities

  • Serves as primary Human Resources Information System (HRIS) administrator and super user, maintaining employee setup (positions, seats, pay grades, etc.), performing regular data audits and preparing both regular reports and ad hoc reports as needed.
  • In collaboration with the Employee Experience Coordinator, maintains personnel files and all associated recordkeeping and documentation, including electronic and physical records. Files confidential personnel documents for both active and terminated employees.
  • In collaboration with the Employee Experience Coordinator, manages PRO recordkeeping retention onsite and at offsite storage facility.
  • Responsible for the organization and upkeep of the People Resources general inbox.
  • Assists employees with personal information updates, including but not limited to, name and address changes.
  • Maintains the organization chart both in the HRIS and as published to LifeStream.
  • Assists and may lead audits for compliance with applicable laws and regulations.
  • Supports bi-weekly payroll process with the PR Supplemental document and related activities.
  • Coordinates the annual job description review process and assists the PRO team and leaders in modifying job descriptions.
  • Provides administrative and project coordination support to PRO Leads and Director for departmental projects and goals.
  • Supports PRO department with administrative requests such as reporting, editing, and creating documents, and preparing presentations.
  • Responds to employment verification requests in a timely manner.
  • Completes Public Service Loan Forgiveness (PSLF) applications
  • Reviews and codes PRO invoices and submits for approval and payment.
  • Provides back up support for Employee Experience Coordinator as needed.

Total Rewards Administration

  • Provides support to the Director, People Resources and People Resources Program Manager (PRPM) on annual benefit renewal process.
  • Assists in open enrollment events and open enrollment administration.
  • Completes non-discrimination testing and pre-testing for Flexible Spending Accounts
  • Administers new hire benefits enrollment and annual open enrollment elections in the HRIS.
  • Partners with employees to complete qualifying event benefits change requests
  • Maintains and updates employee enrollment information in HRIS and with benefits administrators.
  • Ensures COBRA general notices and COBRA due to Qualifying Events are processed
  • Partners with benefits broker and vendors on questions, corrections, and invoice payments
  • Assists employees with benefits questions in a timely manner.
  • Assists employees and the PRPM with 403(b) requests and paperwork.
  • Administer 403(b) force outs annually
  • Processes 403(b) loan requests.  Audits benefit deduction premiums regularly and works closely with the Finance and Accounting department to make any adjustments or employee catch up premiums.
  • Supports and assists with annual salary increase process.
  • Supports the Management Incentive Compensation (MIC) program.
  • Supports and assists with Compensation recordkeeping in electronic system.
  • Administers delivery of required benefit plan compliance documents such as the SAR
  • Supports the LifeCenter Wellness & Resiliency Program in partnership with the PRPM.
  • Administers the management bonus programs for timely payments through payroll.
  • In partnership with PRPM and PR Director, builds out holiday schedule annually and communicates to the organization

Leave Administration

  • Completes intake meetings for FMLA, WPFML, and other leaves of absence in collaboration with PRPM
  • Prepares paperwork and supports employees through the leave application process
  • In collaboration with the PRPM prepares and distributes leave approval and denial documentation
  • Follows up with employees and leaders to ensure all parties are in the loop regarding leave start and return dates
  • Completes employee timecards for employees on approved leave 

Safety Support

  • Responds to workers compensation claims in a timely manner. Engages with claim manager as necessary and provides any follow-up documentation.
  • Partners with the PRPM and PR Director to support the Safety Committee and Program for LifeCenter.
  • Acts as Notetaker for Safety Committee, follows up on outstanding action items for the committee
  • Collects and maintains infection control records for required employees. 
  • Sets up authorizations for employee infection control and testing. Notifies employees when updated records are due.
  • Initiates infection control compliance reminders (annual increase and fall flu vaccinations)
  • In partnership with PRPM, serves as administrator to Safety related pages on the internal employee website.
  • Supports the annual Workers Compensation Insurance Audit.

Compliance & Reporting Support

  • Maintains EEO-1 data in HRIS and prepares reports on an annual basis.
  • Prepares and maintains various PRO metric reports and dashboard.
  • Develops and reviews PRO policies and processes, as requested by departmental leadership. Reviews employee handbook annually in collaboration with the People Resources Program Manager (PRPM).
  • Ensures labor law posters are current in each physical location, on employee intranet site, and delivered to remote employees
  • Audits COVID screening and notifies leadership of compliance rates
  • Completes updated Motor Vehicle Record (MVR) check for applicable employees annually

 

Supervision

  • This position has no formal supervisory responsibility. The position indirectly influences others.

 

Other Responsibilities:

  • Participates in, and may lead, employee committees and events.
  • Will follow other instructions/directions and will perform other related duties as required by the needs of the company and the leadership team.
  • Complies with applicable laws, regulations, and LifeCenter policies and procedures.
  • Partners closely with PRO team to create, deliver and innovate process improvements, policies, procedures, and various other PRO initiatives and may take the lead on projects and initiatives as needed.
  • Supports organization with DEI initiatives.

Physical Activities/Requirements

  • The individual must have the ability to communicate clearly using the English language to accurately convey information and be able to hear at normal speaking levels both in person and over the phone.
  • Travel requirements out of the general work area are infrequent.
  • This position requires the ability to effectively operate phones, computers, and other office equipment.
  • Specific vision abilities required by this position include reviewing material on and off screen.
  • Generally, working conditions do not require exposure to hazardous materials nor extremes in health and safety hazards. Work is normally performed in an office or hospital setting, as well as other business environments.
  • The employee is required to move to 25 pounds with or without assistance.

 

ANTICIPATED WEEKLY TIME COMMITMENT

  • The duties of this position will typically require 37 hours per week. Because of the nature of this position, the incumbent may need to work outside of regular business hours, including evenings and weekends, sometimes without advance notice.

 

EDUCATION, EXPERIENCE & JOB REQUIREMENTS

  • A bachelor’s degree preferred.
  • Relevant work experience can be substituted for academic degree.
  • A minimum of 1 year experience in a human/people resources or administrative support position in an office environment, preferred.
  • Experience working with an HRIS system preferred
  • Proof of COVID-19 vaccination or applicable medical or religious exemption will be required as a condition of employment upon offer.

The pay range for this role is provided above. Where a candidate’s compensation falls within this range is based on several bona fide factors such as experience, tenure, and other specialized knowledge. This position is eligible for additional compensation to the base pay rate, in the form of overtime.
