Position Overview
This is a regular student clerical position which serves as the Library Assistant for the Archives & Special Collections Department, which is responsible for physical processing of archival materials. This position will follow department procedures and workflows to ensure timely access to archival materials and assist with collection management workflows. This position may assist professional and support staff with various tasks as needed.
Hours per Week
- Must be available to work a minimum of 10 hours per week.
- Up to 20 hours per week, maximum.
- Monday-Friday, between the hours of 8am-5pm.
- Scheduling is flexible and arranged in accordance with class schedule.
College/Department Overview
Chambers Library’s Archives & Special Collections department is dedicated to collecting, preserving, and making accessible for research, primary and secondary source materials that document the history of the University, Edmond, and other Oklahoma communities.
Department Specific Job Functions
- Support Archives staff in processing primary materials.
- Help rehouse materials into archival-quality containers.
- Aid in moving and staging record boxes.
- Create inventories of collection materials.
- Assist with data entry tasks.
- Handle material requests.
- Assist with shelving materials.
- Perform other related job duties as assigned.
Enrollment Requirements
Fall/Spring Semesters: All student employees must be enrolled at least half-time to be eligible to work any UCO student position. Half-time enrollment for fall/spring semesters is considered 5 hours for graduates and 6 hours for undergraduates. International students must be enrolled full-time to be eligible to work as a student employee. Full-time enrollment is 9 credit hours for graduates and 12 credit hours for undergraduates.
Summer Semester: Student employees working regular student positions must be enrolled in at least 3 credit hours to be eligible to work during the summer. Students not enrolled in summer classes must be enrolled in fall classes in order to work during the summer, but they (and the department) will be required to pay FICA taxes. Student employees working FWSP positions must be enrolled in a minimum of 6 credit hours (if undergraduate) or 5 credit hours (if graduate) in order to work during the summer in a Federal Work Study Program position.
Enrollment Exception: If the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of hours needed to graduate and anticipated graduation date) and submit it to Human Resources. Qualifications/Experience Preferred
- Previous work experience, preferably in archives or museum studies.
- Experience with inventory management.
- Experience with data entry.
Knowledge/Skills/Abilities
- Knowledge of Windows-based computer applications and Microsoft Office applications.
- Comfortable with repetitive tasks.
- Ability to work independently.
- Ability to follow technical instructions.
- Detail-oriented with good organizational skills.
- Excellent interpersonal and communication skills.
