Purpose

The purpose of this role is to maintain the flow of in person and phone inquiries as well as managing the overall operational needs of the shared services department.

Tasks
  • Answering and transferring calls for administrative, installation, design, and service department.
  • Manage the consistent ordering of the following- office supplies, furniture, cleaning supplies, coffee, and paper products.
  • Managing all filing and scanning of critical documents.
  • Manage facility service providers- janitorial, plumbing, and electrical.
  • Maintaining phone system for all departments and distributing updated phone list.
  • Checking and distributing mail.
  • Managing keys to company properties.
  • Checking in and out gas cards.
  • Managing vehicle inspection, registration stickers, and claims.
  • Internal and external company correspondence (i.e. client letters).
  • Managing employee uniform inventory.
  • Planning and executing monthly birthday celebrations.
  • Collection of AMEX receipts.
  • Other administrative duties related to the shared services department.

Context

  • Monday-Friday, 7am-4pm
