Reporting to the Controller/Director of Accounting, this role provides financial, administrative, and clerical services to the Accounting Department. This position manages multiple priorities and personalities, has a keen eye for details and can switch gears quickly.

 

ESSENTIAL RESPONSIBILITIES/FUNCTIONS:

  • Acts as administrative support to the Accounting team
  • Generates and submits custom client invoices
  • Create client statements and follow ups with clients on outstanding invoices
  • Enters vendor invoice data into accounting software
  • Matches vendor invoices to purchase orders and printed checks
  • Inputs new vendor information into computer system
  • Verifies Purchase Orders are coded correctly
  • Creates Sales Orders and Work Orders for each project
  • Assists in month end reconciliation of financial accounts
  • Organizes and maintains the office filing system
  • Communicates with vendors/clients via phone, email, mail, and personally
  • Copies, files, and retrieves materials as needed
  • Relays changes of information to appropriate employees
  • Ensures the confidentiality and security of companys financial information
  • Performs other related duties as assigned

 

KNOWLEDGE/SKILLS/ABILITIES:

  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite or related software as well as other accounting software programs
  • Ability to perform basic Excel spreadsheet functions and formulas
  • Ability to operate related office equipment, such as computers, 10-key calculator, and copier
  • Ability to work independently and in a fast-paced environment
  • Ability to anticipate work needs and interact professionally with clients
  • Excellent organizational skills and attention to detail

 

EDUCATION/CERTIFICATIONS/EXPERIENCE:

  • Bachelors degree in Accounting or similar program preferred
  • 2+ years of related experience
