As a Front Desk Administrator, you will serve within our ministry by assisting with day-to-day administrative and operational support for clients, staff, volunteers, and donors.
Essential Duties and Responsibilities:
- Provides administrative support to several leaders and works with employees at all levels to complete projects of a complex and confidential nature
- Greets and provides quality services to clients, donors, and volunteers upon arrival
- Utilizes client management system to track client services
- Ensures the safety of clients and employees by monitoring visitors and/or guests entrance into the building
- Ensures appropriate client supervision and client compliance with policies
- Assists with preparing for special events and training. I.e. purchasing supplies, ordering food, set up
- Enters maintenance work orders
- Answers front desk telephone and directs all calls accordingly
- Receives and responds to routine correspondence following established procedures not requiring management review
- Analyzes problems, determines possible effective solutions, compiles and analyzes data, and prepares recommendations
- Coordinates activities between departments and outside parties
- Performs a variety of clerical duties, including, but not limited to data entry, filing, taking messages, recording and transcribing meeting minutes, sorting and distributing mail, desktop publishing, correspondence, copying, scheduling appointments, etc.
- Assists with coding and submitting invoices and credit card statements
- Orders, monitors, and disperses office supplies
- Prepares and maintains weekly service and statistical reports
- Responds to inquiries or complaints from clients, volunteers, agencies, or the business community
- Assists with medical or mental health emergencies as needed
- Assists with de-escalating client conflict
- Trains volunteer receptionists
- Works closely with volunteer department to ensure volunteers are scheduled and calendars are created
