Alongside clinical care, researchers and teachers from Metrocare’s Altshuler Center for Education & Research are advancing mental health beyond Dallas County while providing critical workforce to the state.

The Business Support III position is responsible for coordinating and performing all clerical needs for the assigned team and ensuring customer satisfaction and flow. This is the mid-level business support position and must be able to work with minimal supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The essential functions listed here are representative of those that must be met to successfully perform the job.

  • Implements and maintains designated processes in the assigned team (including, but not limited to the following processes):
    • Greets and directs consumers, vendors, and other visitors
    • Registers consumer for visit
    • Answers and directs incoming calls
    • Creates procedure code for physician visit and places in Show status if necessary
    • Maintains Team Schedule in My Avatar
      • Schedules future appointments, Cancels and Reschedules
      • Blocks and Clears for vacation, as directed by Business Manager
    • Screens consumer/individual needs, without making a clinical judgment
    • Completes Financial Assessment and Consents
    • Maintains 90% accuracy of demographic information in My Avatar and TMHP
    • Confirms payor and authorization before services are rendered
    • Prints & Reviews Face sheets and ensures issues are resolved
    • Confirms appointment with consumers at least one day before appointments
    • Calls No Shows for follow up on missed appointments
    • Responsible for cleanliness and set up of treatment & waiting rooms
    • Enters backups forms when system is down
    • Gathers hospital discharge paperwork
  • Copying, faxing, sorting and organizing faxes and all other general office duties
  • Send state slot offer letters (LIDDA)
  • Coordinates physician signatures
  • Completes and submits payroll for team
  • Orders needed supplies for team
  • Coordinates lunch and snack activities for team consumers
  • Attends regional and team meetings as directed
  • Demonstrate a high level of integrity and confidentiality
  • Meets designated benchmarks and/or quality measures
  • Cross Functions and performs Medical Records duties:
  • LIDDA: Provides backup support to Front Desk as needed
  • Identifies needs and brings issues to the attention of the Business Manager/ Program Manager
  • Presents to consumers and staff in an attentive, friendly, & professional manner
  • Performs other duties as assigned.

  • Customer Service Training = 85% min (bi-annual)
  • Customer Service Training w/Switchboard = 85% min (bi-annual)
  • PsychConsult Refresher = 70% (bi-annual)
  • LIDDA: AVATAR Refresher = 70% (bi-annual)
  • Financial and Benefits Training = 70% (quarterly)
  • Effective verbal and written communication skills.
  • Excellent organizational skills with the ability to prioritize workflow and meet deadlines.
  • Ability to handle multiple task and special projects simultaneously.
  • Able to work autonomously with minimal or no supervision.
  • Able to maintain a high level of professionalism and confidentiality.

QUALIFICATIONS

EDUCATION AND EXPERIENCE:

  • High School graduate with some college or technical school/training with a minimum of 4 years of progressive customer service experience required.
  • Experience in an office or MH/MR setting preferred (LIDDA: Experience in an office or MH/IDD setting preferred)

MATHEMATICAL SKILLS:

  • Basic math skills required.
  • Ability to work with reports and numbers.
  • Ability to calculate moderately complex figures and amounts to accurately report activities and budgets.

REASONING ABILITY:

  • Ability to apply common sense understanding to carry out simple one or two-step instructions.
  • Ability to deal with standardized situations with only occasional or no variables.
  • Ability to work in a multi-disciplinary team environment

COMPUTER SKILLS:

  • Use computer, printer, and software programs necessary to the position (i.e., Word, Excel, Outlook, and PowerPoint).
  • Ability to utilize Internet for resources.

CERTIFICATIONS, LICENSES, REGISTRATIONS:

  • Current State of Texas Driver License or if you live in another state, must be currently licensed in that state. If licensed in another state, must obtain Texas Driver License within three (3) months of employment.
  • Liability insurance required if employee will operate personal vehicle on Center property or for Center business. Must be insurable by Centers liability carrier if employee operates a Center vehicle or drives personal car on Center business. Must have an acceptable driving record.
