Position Title: Adult Ministries Administrative Assistant

Full/Part time: Full Time
Salary Range: $17-$19/hour
Date: July 2023

Summary/Objective:

This position supports all Adult Ministries staff in administrative responsibilities & ministry support, including providing assistance to Southeast guests/members as their needs relate to adult ministries.

Essential Functions:

  1. Maintain master schedule and calendar of events for all adult ministries as well as department head schedule.
  2. Provide administrative framework for event management: reserve rooms, create promotion plans in conjunction with Creative team, and oversee preparations to ensure that events are well planned, well promoted, and well organized.
  3. Keep current volunteers (who are in positions of trust) up to date with background checks and risk management. Communicate with Adult Ministries staff on clearance status of volunteers.
  4. Create and manage registration forms for all Adult Ministries events (classes, retreats, events, etc).
  5. Manage church database with family/individual profiles, background checks, groups, attendance, etc.
  6. Assist in developing and overseeing administrative processes for ongoing ministry events such as Southeast U classes/workshops, support groups, and Connections classes as well as special one-time Adult Ministry events .
  7. Plan and schedule meetings, conferences, and travel as needed.
  8. Assist Adult Ministries Pastor with specific needs for team oversight.
  9. Serve as the gatekeeper for the Adult Ministries staff, welcoming attendees and guests, in person or by phone, and answering or directing email or web site inquiries.
  10. Give additional support to guests and attenders in order to connect to classes, events and other ministries at Southeast.
  11. Work with creative team for adult ministries creative and promotional requests.
  12. Work with Connections Director to maintain workflows and memberships in Planning Center.
  13. Work with Care Pastor and Events Director to plan and carry out funeral services and receptions.
  14. Process expense report approvals and manage business workflow that requires administrative attention.
  15. Track budgets for Adult Ministries, as needed.
  16. Represent Adult Ministries at planning/calendar meetings.
  17. Participate in all adult ministry team meetings, discussions, and functions. Track notes when needed.
  18. Perform administrative duties to support baptisms including scheduling, communicating, and following up with questions from people in the congregation or community who want to pursue baptism.
  19. Perform other duties, as needed.

Time Requirements:

This position will be completed in 40 hours per week. This position may require some weekends, evenings, and Christmas Eve and Easter services.

Work Environment:
This job operates in a professional office environment and uses standard office equipment such as laptop computers, desktop computers and telephones.

While performing the duties of this job, the employee is regularly required to talk or hear and frequently required to sit and/or stand for sustained periods of time; lift, push, pull items in excess of 30 lbs; walk and reach with hands and arms.

Qualifications

Requirements:

Professional/Education

  1. 1+ years of administrative experience.
  2. Good computer and communication skills.
  3. Ability to manage confidentiality in all aspects of job.
  4. Proficient in Microsoft Office (Excel, Word, Outlook, etc)
