The Production Administrative Clerk is a person who works under the supervision of a plant manager and ensures smooth flow of production reporting and documentation. Responsible for the overall efficiency and effectiveness in the Yard reporting and assisting Plant Manager and employees with all documentation necessary. The Production Administrative Clerk will learn all yard positions to better assist employees with questions and/or concerns.



  • Distributes daily paperwork.
  • Create and maintain daily shipping & receiving log.
  • Emails pictures of material for assist with the purchase.
  • E-Mails, faxes, correspondence to Management team.
  • Performs receptionist duties including greeting visitors, operating telephone console, directing calls, taking messages, arranging appointments, etc.
  • Reads and determines terms of contract, and examines material for defects and conformity to contract; notifies appropriate personnel if necessary. 
  • Examines material defects, sorts material according to extend of defects and request pictures for proof.
  • Attaches identification data onto product received and directs placement of material to its determined site in plant.
  • Communicates with Scrap Buying personnel regarding product received and to schedule incoming shipments.
  • Prepares final shipping paperwork.
  • Tests (assay) scrap material as instructed.
  • Types memos, correspondence, reports, and other documents.
  • Ensures compliance with environmental regulations while operating production equipment.
  • Maintains Outstanding Check list.
  • Assists in developing employee training materials and testing materials.
  • In conjunction with Plant Manager and VP of Manufacturing develops changes in working conditions, including work-shifts, staffing needs.
  • Analyzes and attempts to resolve arising problems and/or assists production supervisors to     address work related problems.
  • Performs variety of administrative duties such as filing, ordering supplies and maintaining office supplies.
  • Responds to vendor inquiries.
  • Drives truck to pick up or deliver, in the local area, such items as mechanical parts, office supplies, lubricants, mobile equipment parts, and assorted items necessary to repair plant equipment.
  • Keeps to driving schedule, along with any emergency deliveries/pickups as necessary.
  • Performs other duties as assigned by Management.
  • Bilingual in Spanish Required.
  • High School Diploma/ GED required.
  • At least 2 years experience in an Administrative Assistant role. 
  • Must have a valid driver’s license and maintain driving record in good standing.
  • Ability to write short correspondence, and memos.
  • Strong customer service and date entry skills.
  • Professional, articulate, high energy and team oriented.
  • Professionalism in representing the company to external parties.
  • Must be a self-starter with the ability to manage multiple priorities/tasks, and possess strong organizational and clerical skills.
  • Proficient in Microsoft Office Suite.
